Job Description
Job Summary


Under the direct supervision of the Payroll and Benefits Specialist, the Payroll Assistant is responsible for assisting with the preparation and processing of payroll to ensure accurate and timely pay for our Team by verifying employees hours through the review of time card discrepancies with employees and supervisors, updating employee data as assigned, inputting accurate deductions and other payroll related tasks such as preparing employment verifications for approval.


The Payroll Assistant will also provide technical support for employees who are users of the timecard and payroll software by providing excellent customer service to troubleshoot system access and pay or timecard inquiries.

This position is a full-time, non-exempt position based on a 40-hour workweek Monday-Friday.

Essential Functions


Assists in the Preparation, Maintenance, and Processing of Payroll:


  • Assists in the review and processing of employment status changes and their impact on deductions and contributions for accurate payroll processing.
  • Serves as initial contact and resource for basic employee and supervisor inquiries regarding payroll information as well as payroll system. Consults and seeks assistance from Supervisors as needed.
  • Calculates paid leave accruals and ensures accurate adjustments to paid leave balances, when applicable
  • Assists in preparing payroll-related reports, including payroll summaries, tax reports, and benefit summaries.
  • Assist in accurate monitoring of paid leave set up in the payroll system to ensure compliance with compensation and benefits policies and procedures in response to employee status changes.
  • Works with employees, human resources department, and supervisors to ensure employee data is accurately reflected in the payroll system such as pay rates, personal information, direct deposit verification, and other confidential employee information.
  • Supports and ensures accurate setup of employee pay-related deductions, contributions, incentives, reimbursements, and garnishments for accurate payroll processing.
  • Assists in the accurate and timely initial set up of employee payroll records, department and cost center assignments, paid leave accruals and ensures compliance with compensation plan and employee benefits policies and procedures.
  • Processes and monitors garnishments, ensuring compliance with court orders and applicable laws, and completes employment and wage verifications as requested in compliance with Finance and Human Resources policies and procedures.


Projects


  • Works collaboratively with others, as assigned, to support or assist with special projects, conducting research or compiling reports.
  • May be cross trained to support other Finance department functions such as accounts payable or receivables, as needed.


Compliance, Regulation, And Accurate Record Keeping


  • Maintains confidentiality of all payroll and personnel data.
  • Assists with the consolidation of paper to electronic records.


Serves as a Member of the Fiscal and Human Resources teams:


  • Active and engaged member of both teams to ensure communication and accuracy between departments.
  • Supports joint projects such as open enrollment, employee benefits education, and other applicable presentations or projects.


Completes other duties as assigned.


Knowledge, Skills, And Abilities


  • Considerable skill in operating personal computers, must be proficient in Microsoft Office software products including Word, Excel, and Outlook.
  • Strong attention to detail and accuracy in processing payroll and benefits data
  • Strong organizational skills and the ability to manage multiple priorities efficiently
  • Ability to maintain confidentiality and handle sensitive payroll information with discretion
  • Excellent verbal and written communication and interpersonal skills for effective employee interactions


Minimum Qualifications


  • Two years of relevant work experience in payroll, accounting, or another related field
  • Associate's degree in accounting, business administration, or related field. Work experience and/or equivalent post-secondary education in accounting, business administration or related field may be substituted for degree completion.

  • Experience with Paylocity preferred
  • Ability to use HRIS software efficiently and effectively
