Job Description
The Part-Time Administrative Assistant position is a direct-hire position working for HGA at the corporate office in Ruston, LA. This is a part-time position requiring approximately 20+ hours per week. The hours are flexible, but will likely be 8am-3pm M-TH.


Part-Time Administrative Assistant Responsibilities


  • Retrieve and compile backup documentation for billers to ensure accurate and timely invoicing.
  • Assist with managing portals and online platforms, ensuring information is up to date and accessible.
  • Scan and upload various documents to the Document Management System (DMS).
  • Support project-related activities such as proposal preparation, project documentation, and project opening and closing procedures.
  • Assist with contract labor administration, including maintaining records, and processing invoices.
  • Assist with American Express (Amex) account management, including reconciling statements, processing expenses, and ensuring timely payments.
  • Provide backup support for answering phone calls and handling inquiries.
  • Collect necessary backup documentation for charges and expenses and maintain accurate records.
  • File documents, records, and reports in an organized and systematic manner.
  • Provide backup support for time and expense entry when needed.
  • Handle billing for small and simple projects, ensuring accuracy and adherence to billing procedures.


Qualifications


Part-Time Administrative Assistant Qualifications:


  • Strong attention to detail and accuracy in handling documents and data.
  • Excellent organizational skills and the ability to manage multiple tasks simultaneously.
  • Ability to work independently and prioritize tasks effectively.
  • High school diploma or equivalent; additional education in accounting or related field is a plus.
  • 2+ years of experience in administrative support roles or accounting administration is required.
  • Proficient in using standard office software, including scanning and document management systems.
  • Candidates must be located within daily commuting distance of Ruston, LA.
  • Excellent communication skills, both verbal and written.
  • Familiarity with billing procedures and basic accounting principles is a plus.
  • Discretion when handling confidential and sensitive information.
