Job Description
Exciting News!!! Now through September 2023, CFF is offering a $500 sign on bonus*; $250 paid on the first check and $250 on the paycheck following 6 months.

Position Summary:


As the Office Manager, you will play a pivotal role in ensuring the smooth and efficient operation of our clinic. You will be responsible for overseeing compliance with industry regulations, managing billing and payroll functions, organizing patient charts, and maintaining high levels of patient satisfaction. Your leadership and strong customer service skills will be crucial in fostering a positive and motivated work environment within the office.


Required Qualifications:


  • 1 or more years of experience in healthcare office management, with a focus on compliance, billing, and chart management.
  • 1 or more years of experience with medical billing practices and regulations.
  • High school diploma or GED


Preferred Qualifications:


  • Excellent interpersonal and communication skills, with a passion for delivering exceptional customer service.
  • Proficiency in office software and EMR systems.
  • Strong leadership and team-building skills.
  • Bachelor’s degree in human services or a related field
  • Knowledge of psychiatric healthcare practices and regulations


Program Specific Responsibilities:


Compliance:


  • Stay up-to-date with industry regulations, including HIPAA and other relevant healthcare standards.
  • Conduct regular audits to ensure adherence to compliance standards and address any issues promptly.


Billing and Payroll:


  • Collaborate with billing department to resolve billing discrepancies.
  • Assist program leadership with payroll verification and fidelity monitoring activities
  • Complete the weekly billing process, including coding, claim submission, and front-end revenue cycle management.


Chart Management:


  • Train staff on proper charting procedures and maintain confidentiality of patient information.
  • Implement efficient record-keeping systems to streamline chart management processes.
  • Organize and maintain patient charts, ensuring they are accurate, up-to-date, and easily accessible.


Patient Satisfaction:


  • Address patient concerns and complaints promptly and professionally.
  • Champion a patient-centered approach by promoting empathy and excellent customer service among office staff.
  • Gather and analyze patient feedback to identify areas for improvement and implement enhancements.


Office Management:


  • Manage office supplies and equipment, ensuring adequate stock levels.
  • Foster a positive and collaborative work environment, promoting high morale among office staff.
  • Oversee the daily operations of the clinic, including appointment scheduling, reception, and administrative tasks.


Essential Functions:


  • Effectively communicate and interact with clients, peers and community representatives
  • Utilize personal computer equipment on a daily basis.
  • Ability to work both individually and in teams
  • Commitment to maintaining patient privacy and confidentiality
  • Varied work schedule, evening and weekends may be required
  • Ability to work in a drug free workplace
  • Current child abuse, criminal and FBI clearances
  • Document case activity through progress notes and other program specific paperwork.
  • Maintain valid driver’s license and insurance
  • Utilize office equipment (phone, fax, copier and scanner)


Work Environment:


  • Demonstrate ongoing availability to work 2 evenings per week.
  • Work in standard office environment as well as community settings to include client home, schools, court, doctor’s offices and hospitals.
