Organizational Consultant and Director of Special Projects


Occupational Summary

Reporting to the Executive Director and/ or Vice Provost, the Organizational Consultant (OC) has skills in assessing unit operational strengths and needs and takes on responsibility for operational oversight for a select portfolio of units, serving as the chief administrative leader.


The OC works alongside the Director/ Vice Provost, and is responsible for implementing and developing an operational strategic vision and plan for one or more units, while serving as the chief administrator overseeing functions such as business operations, marketing and communications, programming, academic program administration, and development.


Job Duties

Senior Advisor to Unit Leadership (20%)

  • Serves as senior advisor senior leadership team of relevant units, to include documenting, communicating, and implementing plans and programs, and serving as a sounding board for key decisions. This includes providing detailed notes on decisions and action items, and ensuring follow up occurs.
  • Represents the Director/ Vice Provost when they are unavailable for meetings and events.

Facilities Oversight (15%)

  • Works with relevant Duke offices to develop short- and long-term maintenance and capital improvement plans.
  • Oversees the maintenance and repair plans. Consulting with relevant Duke facilities offices and overseeing the work of vendors.

Organizational Planning/ Project Management (30%)

  • The OC will define team member roles & responsibilities in a way that is accessible to stakeholders outside of the unit.
  • The OC will create tracking systems for the unit or units, to ensure robust tracking and delivery of events, program logistics, and deliverables. Ensures that necessary resources are obtained to execute plans and determines timing and sequencing of steps required.
  • The OC will develop standard operating procedures for the unit that reflect University policy and departmental needs and facilitate leadership transitions.

Business Operations- Finance and Human Resources (35%)

  • The OC will work with Finance and Administration to establish a multi-year financial plan for the unit to inform out year funding needs, endowment planning, and organizational solvency.
  • The OC will work closely with the unit head(s) with a variety of stakeholders across the relevant organization(s), including the Office of the Provost, Foundation Relations, Development, relevant boards, and the Office of the Provost to realize the goals of the organization while appropriately stewarding resources and remaining in alignment with Duke policies. The position will have overall budget authority for the organization and in the case of sponsored and/ or restricted funds, ensure adherence to donor intent.
  • The OC serves as a “chief people officer” for assigned units charged with building and maintaining a culture of inclusion, collaboration, excellence and transparency.
  • The OC will work in partnership with unit leadership and Human Resources to develop and implement staffing plans.

Required Qualifications

  • Experience with executing detailed plans and programs
  • Strong organizational skills and proven track record of assessing organizational strengths and needs, as well as executing plans across teams;
  • Work generally requires at least seven years of progressive administrative or project management type work.
  • Experience and affinity for the arts/ humanities is strongly preferred.
  • Demonstrated success creating a culture of inclusion. Excellent management skills, comfort managing “up”.
  • Minimum of Bachelor's degree; masters preferred.
  • Passion and knack for building teams and forging trusted relationships within a unit and between that unit and other parts of a complex organization

Minimum Qualifications


Education

Bachelor's Degree required. Work requires strong communications, preferred. analytical, organizational and business skills normally acquired through completion of an advanced degree in a related field. Masters or J.D.


Experience


Work requires a minimum of seven years of demonstrated experience in a combination of administrative management, financial and strategic planning, and knowledge of educational principles, curriculum development and instructional design.
