The Operations Director is responsible for developing and implementing uniform policies and procedures for prudently managing and coordinating program resources, securing and maintaining safe and effective office space, and the procurement of necessary services, supplies and equipment.
The Operations Director is a member of the Senior Management team, reporting to the Deputy Director, and will work closely with staff across the program including NJP’s Finance, IT and HR Directors, the Executive team, advocacy leadership, attorneys, accounting staff and support staff statewide to ensure the smooth and efficient operation of NJP’s offices.

Responsibilities
The Operations Director leads, supports, shows initiative, and is innovative, responsive, and adaptive to the ever-changing landscape of NJP’s operational needs. To that end the Operations Director is required to manage new projects, challenges and duties, as needed.
The Operations Director Is Specifically Responsible For
Day to Day Operations - in coordination with relevant departments:
  • Assists with remote workspace coordination in accordance with NJP’s telework policy
  • Troubleshoots a variety of operations challenges and problems
  • Defines, implements and revises operational policies and guidelines for the organization. Documents updates through regular revisions NJP’s Administrative Manual and others as needed.
  • Oversees the planning and coordination of annual all Staff meeting
  • Participates in the onboarding process of new staff including presenting online resources and administrative manual
Purchasing
  • Monitors, approves and manages office services and supply procedures and purchasing
  • Procurement and acquisitions including quality and cost evaluations and comparisons of office services, supplies and products
  • Vendor relations: Regular Vendor Reviews; Including use of minority owned vendors; Participation in the state coop and explore/present money saving ideas
  • Subscriptions, licenses, and equipment not otherwise purchased by IT
Facilities Management
  • Managing remodels/construction
  • Coordinating office moves
  • Locating new office space as needed for expansion or relocation
  • Leasing negotiations/renewals
  • Facilitating Landlord interactions
Workplace Safety
  • Develops and maintains a system for safety incident reports
  • Maintains current knowledge of and NJP compliance with workplace safety at all NJP sites, in accordance with Chapter 296-800 WAC
  • Leads NJP’s Statewide Safety Committee and ensure existence of site-specific Safety Committee's as required by the state
  • Emergency planning - review office plans/template to ensure they are up to date and reviewed regularly with site staff
  • Safe & healthy workplace oversight (ergonomics, OSHA, ADA, etc.)
  • Office security/security systems
Program Support
  • Assist with LSC, OCLA and other grant applications and reporting as needed Program Support
  • Regularly visits all offices to build relationships and ensure operational support
  • Program lead for Technology Innovation Grants (TIG) management: Partner with colleagues to Identify and pursue TIG opportunities in partnership with IT and the appropriate program staff; Collaborate with others to draft and submit TIG grants; Prepare and submit TIG reports

The Operations Director is expected to perform their duties in a manner which is consistent with/in furtherance of:

Leadership
As Such, They Have Obligations With Or Without Direct Reports
As a member of NJP’s Senior Leadership Team, the Operations Director is expected to be a resource to all NJP staff.
  • Identify potential grant resources, develop projects to meet grant criteria and assist with grant compliance and reporting requirements.
  • Communication of staff concerns to Human Resources staff or other appropriate members of the leadership team
  • Constructively advise the Executive Leadership team regarding policy initiatives, advocate for office/unit team, recognize and reward innovative solutions to client and community needs and report as appropriate.
  • Communicate program policy and related staff needs, maintain good morale, team efforts and staff recognition, etc.
  • Participate in and contribute to monthly meetings with statewide management team.

Prior experience in roles with similar responsibilities for purchasing, facilities, and/or safety is helpful, but not required.

Compensation: Salary range is $85,000 - $125,000 annually, based relevant experience. NJP offers a comprehensive benefits package which includes 100% paid employee health premiums and significant premium shares for family health premiums, as well as generous time off.
