Job Description

The Operations Associate position reports directly to the CEO and as such requires confidentiality, good judgement and professionalism at all times. Strong analytical skills (including high level of proficiency in Excel), exceptional communication skills, both written and verbal, and excellent organizational skills are required to be successful in this position.


  • Support strategic objectives by reading, researching, collecting, liaison with company stakeholders and analyzing information as needed, providing any supporting information in advance.
  • Must be able to function well in a fast-paced, challenging environment; performing additional duties as assigned by executives and taking initiative to complete things before being told
  • Responsible for implementation and ongoing compliance for OSHA, HIPAA, and other Federal and State mandates for the company, including creating policy, procedures, and training required to maintain compliance in these areas
  • Arrange travel and accommodation for executives, including preparation of expense reports in accordance with the company’s travel policies
  • Excellent communication (written and verbal), time management skills with proven ability to meet deadlines
  • All other duties as assigned
  • Support leadership dashboard to track metrics as well as maintaining the status of company wide projects in support of corporate goals
  • Perform recruiting actions such as posting jobs, conducting initial screenings, assisting District Managers to hire the best candidate while maintaining a consistent process.
  • Screen incoming telephone calls to leadership; take and deliver accurate messages; respond to requests by gathering and providing pertinent information and referring non-routine calls to the appropriate staff
  • Welcome the Executive’s guests by greeting them, in person or on the phone, answering or directing inquiries.
  • Coordination of employee morale initiatives and events
  • Perform human resources administrative actions such as new team member onboarding, offboarding and benefits administration, etc
  • Create and maintain a rolling corporate calendar of meetings, events, deadlines, etc
  • Managing the document and process library to include reviewing documents annually and maintaining version control
  • Create corporate documents, including, but not limited to spreadsheets, PowerPoint presentations, agendas, reports, special projects in support of initiatives of the organization. Must have expert level knowledge of this suite of tools
  • Conduct data analysis as required and create and report on status of special projects
  • Draft and prepare correspondence for internal announcements, minutes of board meetings, including organizations with which the executive is involved


Requirements


  • Must be US Citizen or otherwise authorized to work in the US
  • Experience: Minimum of 8+ years of related experience required
  • Education: Bachelor’s degree in business preferred

  • Minimum of 8+ years of related experience required
