Position Purpose/Mission


The Operations Administrative Assistant provides administrative support to all functions of the operations department which includes but is not limited to scheduling, project and service implementation and coordination, and customer support. This role will engage with both internal and external customers and be familiar with all activities within operations supporting our Wilsonville, OR office location.


What You Will Do


  • Partner interdepartmentally to address/resolve administrative and operational requests
  • Reviewing timecards, expense forms, reimbursements, and tool assignments to provide to Operations leadership.
  • Acquire knowledge of Absco service scopes to ensure appropriate policies and procedures are being adhered to on all projects. Address liabilities and responsibilities accordingly.
  • Provide data entry support for all operations metrics, including collection, analysis, and distribution of reports to Operations leadership.
  • Assist with management of permitting, documentation, time frames, project close out and be able to recognize changes in scopes of projects that require escalation to operations management
  • Track service renewals, service and inspection tracking and scheduling, service reporting, and central station monitoring coordination for the service department.
  • Communicate with customers through all phases of service or project implementation and ensure customer service commitments are met.
  • Coordinate with operations management on equipment tracking and inventory management of supplies to ensure efficiency of process.
  • Perform multifaceted general office support and organization


What You Will Bring


  • Data analysis and abstract thinking skills
  • Possess a valid driver’s license
  • Two or more years administration support experience
  • Experience working in a warehouse office environment (preferred)
  • Experience with accounting software (QuickBooks preferred)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Ability to lift a minimum of 50lbs.
