The Operations Team performs the finance operations for the company, plans company events, ensures our office remains stocked with all essentials, and promotes our company culture. Who we are looking for

A highly organized and versatile individual to join our Operations Team as an Office Manager. This position requires a solid understanding of finance, office management, and HR support. The ideal candidate will be meticulous, possess excellent communication skills, and can multitask effectively.

What you get to do

Finance:

  • Liaise with vendors to resolve invoice, price, or receiving queries.
  • Generate invoices based on payroll and accounts payable information.
  • Prepare bank deposits and handle incoming digital deposits.
  • Audit billing codes against purchase orders for internal billing.
  • Coordinate order procurement for customers and internal teams.
  • Place orders and track results.
  • Run accounts payable, including bill gathering and entry.
  • Process vendor ACH payments and reconcile bank accounts monthly.
  • Record business transactions, refunds, and other financial details.
  • Work with customers to ensure timely payment of invoices.
  • Collaborate with the Shop Manager and Program Managers to ensure accurate expense reports and customer billing.

Office Management/Admin:

  • Coordinate new hire technology setup, such as computers and email addresses.
  • Set up desks for new hires.
  • Be responsible for office supplies and janitorial supply inventory and ordering.
  • Support companywide event planning and execution.
  • Schedule and arrange meetings and appointments.
  • Coordinate with the janitorial team for cleaning needs and resupply.
  • Maintain company calendars.
  • Place orders for company catering events.
  • Address employee requests related to office matters.
  • Assist in handling office and desk inventory.
  • Manage internal Microsoft applications, including license distributions and file organization.
  • Handle kitchen food inventory and organization.
  • Support AE Diversity Equity and Inclusion (DEI Program)
  • Handle mail distribution and package management.
  • File and organize hard copy and digital paperwork.

Human Resource Support:

  • Coordinate companywide HR trainings.
  • Assist in onboarding procedures and new hire orientation.
  • Assist in the development and communication of HR policies and guidelines.
  • Capture and prepare employment data for reporting and analysis.
  • Coordinate recruitment and future employment activities.
  • Serve as a point of contact for HR inquiries and provide day-to-day HR support as needed.
  • Manage communications with employees on leave programs and benefits.
  • Assist in planning and coordinating corporate events and initiatives.
  • Coordinate and track all leave of absence activities.
  • Maintain employee personnel files and ensure data integrity.

What you bring to the team

  • Must be a US citizen or permanent resident with the ability to obtain a security clearance
  • Excellent organizational and communication skills.
  • Ability to prioritize tasks and multitask effectively.
  • 3-5 years of experience in finance, office management, and HR administration.
  • Proficiency in financial processes, including accounts payable, accounts receivable, and payroll.
  • Bachelor's degree in Finance, Human Resources, Business Administration, or related field (preferred) This may be substituted for years of experience on the job.
  • Attention to detail and ability to maintain confidentiality.
  • Knowledge of HR policies, procedures, and employment laws.
  • Prior Experience making DEI Program implementations a plus. Willingness to make DEI a priority.

Salary Range

  • $72,000 - $109,000, depending on experience
