Summary-The Office Manager will be responsible for overseeing laboratory administrative roles and processes supporting day-to-day operations. Meet lab objectives and customer requirements through the effective management of the Calibration Laboratory admin staff. Maintain effective communication and teamwork with local laboratory sales and corporate support staff. Operate within generally accepted business and technical practices, company policies and procedures. Safeguard company and customer assets, equipment, material, and information. This individual must have excellent customer service skills, in person and by the phone. 

 

Essential Duties and Responsibilities:

  • Assist in the purchasing of supplies, parts and issuing of PO’s as necessary.
  • Handle employee issues and implement disciplinary action, when necessary, with appropriate interaction with Service Manager and Human Resources.
  • Oversee the assignment and completions of department responsibilities including managing overtime and appropriate direction concerning incomplete tasks.
  • Perform all necessary tasks related to the administrative functions to fill in all gaps as needed.
  • Maintain responsibility for the training and development of all department staff.
  • Interact regularly with customers to solve problems and maintain a high standard of customer service excellence.
  • Work at customer on-sites with little to no direction
  • Other duties as assigned.
  • Oversee and coordinate building and vehicle maintenance as required.
  • Provides input regarding all staffing decisions including hiring, promotions, performance appraisals and terminations.
  • Identify and solve problems, including appropriate interaction between departments for necessary solutions. Ensure follow-up and follow-through for all issues.
  • Organize and facilitate all administrative functions of calibration including but not limited to receiving, shipping, pick-up/delivery, quoting, on-site scheduling, hold shelf, repair, outside services, invoicing and administrative.

 

Primary Objectives:

 

  • Eliminate bottlenecks in the lab support workflow
  • Demonstrate a strong working knowledge of the lab’s systems, processes, and roles/responsibilities.
  • Deliver on Transcat’s Quality Policy (QAC-F01-001)
  • Develop skills necessary to advance into other leadership roles within the company
  • Exhibit leadership skills necessary to train and develop lab admin personnel
  • Implement continuous improvement strategies reducing waste and variation in the administrative process
  • Ensure exceptional customer service

 

Required Knowledge, Skills, and Abilities:

 

Required:

  • Advanced organizational and time management skills

 

Preferred: 

 

  • Previous experience within the commercial calibration industry
  • Management or supervisory experience in an administrative capacity
  • Experience utilizing Salesforce CRM

Proficiency with Microsoft Office computer software including Word, Excel, and Outlook

 

Education and Experience:

Required: Two-year college degree or related work experience

 

Preferred: Four-year college degree with concentration in business administration or equivalent combination of education and work experience. Certifications related to customer service or process improvement are a plus.
