Job Description
Primary Responsibilities
· Work closely with the Executive Director to ensure that agency and program goals are being met. Maintain and coordinate Executive Director’s calendar, schedule meetings, community events, tours, provide summaries and updates of upcoming events.
· Oversee all business operations for Gianna House including phone coverage, develop and update community correspondence and marketing materials along with policies and procedures for Gianna House, prepare mailings, thank you letters, develop electronic spreadsheets and forms, clean up and maintain database and ensure accuracy, purchase supplies for Gianna House, prepare reports, and purchase office supplies and other house needs.
· Coordinate human resource department including employee orientations, employee policy reviews, job postings and resume screening, maintenance of HR files, and development of approved employee handbook revisions.
· Oversee facility needs including the coordination of building maintenance, repairs, and renovations, scheduling and managing required inspections/fire system updates, and purchasing and maintaining general building supplies.
· Coordinate and oversee volunteer program including meeting with potential volunteers, processing volunteer paperwork and background checks, coordinating community work groups, and organizing volunteers for training.
· Ensure the IT needs of Gianna House are met with assistance from appropriate professionals, repairing onsite or scheduling computer repairs as needed.
· Assist with planning and organizing events and outreach activities including providing oversight to all administrative duties.

Qualifications:
· Associate degree with business emphasis or five years’ experience in a related business or finance environment.
· Experience with utilizing database/payment platforms and accounting practices preferred.  
· Possess strong proficiency to perform functions utilizing Microsoft Office products which includes Outlook, TEAMS, Excel, Word, and PowerPoint with keyboarding skills of 45 wpm.
· Excellent oral and written communication skills to effectively communicate to a variety of audiences ie: individuals, businesses, other non-profit organizations, and churches.
· Experience developing content for written policies and various publications and supporting documents including Microsoft Word forms, Excel spreadsheets, charts and graphs, and PowerPoint presentations.
· Ability to work independently with minimal direction, applying critical thinking skills to forecast potential problems and develop required action plans.
· Knowledge of employment and business law a plus.
· Excellent time management and organizational skills required.
· Ability to multi-task and work independently in a dynamic and fast-paced work environment requiring a high degree of confidentiality.
· Ability to train, lead and supervise others.
· Ability to uphold a professional demeanor and interact effectively with residents, volunteers, donors, and general public.
· Understanding of and sensitivity to cultural, economic and language differences.
· Ability to operate standard office equipment.  

Requirements
· Passion for the organization’s mission and commitment to its values and directives.
· Demonstrated experience in office management, data entry, database management, and customer service.
· Ability to work independently, with others/as a team, and to make appropriate decisions.
· Cultural competency and HIPAA compliance.
· Criminal history check must come back cleared by the state of Michigan.  
· State of Michigan Sexual Offender Registry Check & National Sex Offender Check must come back cleared.
· Child Abuse Central Registry Clearance must come back cleared by the state of Michigan.
· Provision of three personal/professional references.
· Reliable attendance, strong work ethic, and trustworthiness.
· Documentation of freedom from communicable TB.
· Driving record check must come back cleared by the state of Michigan (Not more than 4 points; no history of DUI).
