We are seeking an exceptional Office Manager to oversee the day-to-day operations of our St. Louis office on a part-time basis. The Office Manager will be responsible for maintaining an efficient and productive work environment, managing administrative tasks, and providing support to employees. The ideal candidate is an excellent communicator and task manager, with a strong attention to detail.
- Event planning: Facilitate and host internal, training, and marketing events, working with vendors such as venues, caterers, and event coordinators.
- Office operations: Ensure the smooth functioning of the office, maintaining inventory of office supplies and vendor accounts. Own office guidelines documentation. Maintain plants and coffee makers.
- Health and safety: Own office safety procedures, conduct annual inspections, and ensure compliance with health and safety regulations.
- Shipping and logistics: Receive, pack, and send out shipments to and from vendors, employees, and customers. Ensure timely and accurate delivery of packages, track shipments, and manage online shipping accounts.
- Systems maintenance: Keep studio equipment charged, and firmware updated.
- Internal communications: Create and send invitations and notices for internal events and employee engagement, using company calendars, chats, email, and snail mail.
- Building liaison: Act as the main point of contact for the building management. Relay building notices and updates to employees, ensuring everyone is informed of any changes or announcements.
- Perform other local support for marketing, IT, and training teams, as available.
- Contractor management: Schedule contractors to maintain, repair, and improve the office space. Ensure projects are completed within budget and according to schedule.
- Ability to work independently
- Attitude of hospitality, valuing coworkers and guests
- Bachelor's degree or minimum 3 years of experience in office management
- Basic understanding of computer hardware and accessories
- Strong organizational skills, with the ability to prioritize tasks effectively
- Physical strength to manage shipment and organization of items up to 40lbs
- Excellent written and verbal communication
- Proficiency in office productivity tools (e.g., Microsoft Office Suite, Trello, Calendar)
- Part-time, hourly position averaging 20 hours per week.
- Duties are primarily performed in-office.
- Compensation will be commensurate with experience and skills of the right candidate
