Job Description

We are currently recruiting for an Office Manager for Dinesen & Associates. The Office Manger reports to the Director, Operations and is responsible for the overall daily management and coordination of clinical and administrative business operations for the care center.

Essential Functions

  • Partners with clinical supervisor to supervise the day-to-day operations of care center, including distributing building access keys and back-up security access cards, etc.
  • Monitors practice schedules and flow of patient care through direct observation and communication with appropriate staff.
  • Performs staff evaluations and makes recommendations on merit increases, promotions, and disciplinary actions.
  • Participates in recruitment and retention of clinical and non-clinical staff and provides training to supervisors.
  • Participates in development of long-range strategic plans, governance structure and objectives for practice management.
  • Participates as needed in special department projects, attends virtual meetings as requested, and participates in monthly meetings with department supervisors to ensure operational efficiency and open communication.
  • Maintains proficiency with scheduling and EHR system.
  • Participates in the development and administration of policies on clinical, business operations and strategic planning. Interprets policies, objectives, and operational procedures.
  • Coordinates with HR, IT, Credentialing, Billing and Accounting functional teams, as needed.
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout arrangement and housekeeping of office facilities.
  • Resolves problems related to staffing, utilization of facilities, equipment and supplies for the care center.
  • Participates in the evolution and refinement of the quality improvement process at the care center and ensures patient satisfaction.
  • Assists in survey compliance, quality assurance, and staff development duties, as assigned.

Supervisory Responsibilities

  • Overall management of both clinical and non-clinical care center staff.

Qualities and Skills

  • Proven ability to work with physicians.
  • Demonstrated ability to establish and maintain effective working relationships with personnel across various facilities as well as external entities.
  • Excellent verbal and written communication.
  • Strong Knowledge of Microsoft Office Suite
  • Strong knowledge of electronic billing process and medical insurance.

Education and Experience

  • 4-year degree from an accredited college in business, healthcare, or related field.
  • 5+ years’ recent experience in healthcare management.
  • Knowledge of electronic billing process and medical insurance.
  • Experience managing staff upwards of 60 employees.
  • Experience managing a high-volume practice, OB/GYN or Fertility specialty, preferred.
  • Experience with eClinical Works (eCw) beneficial.
