Job Description

Tacoma Public Utilities is recruiting for an Office Manager to support the Customer Services Manager and their direct report. This position will perform a wide variety of highly difficult, sensitive and confidential administrative support functions to both internal and external customers and stakeholders. The Office Manager is responsible for performing diverse, high-level duties and coordinating a wide variety of work in support of officials of other governmental agencies, regional officials, department heads, business and community organizations, interest groups, the media and the public.
RESPONSIBLITIES INCLUDE:
  • Evaluate and study various programs, operations, or activities;
  • Draft reports for management review;
  • Attend meetings and conferences to record proceedings, receive information, or to provide information to City departments, outside agencies, and the public.
  • Assist with and take significant responsibility for the preparation and monitoring of the section budget;
  • Conduct basic data analysis;
  • Implement department-wide clerical and administrative processes; handle confidential and sensitive issues;
  • Provide administrative and technical support;
  • Support travel arrangements and reimbursements;
  • Compose correspondence on behalf of the Customer Services Manager and their direct reports;
  • Prepare and distribute meeting notices, agendas, and minutes;
  • Perform technical research;
  • Manage complex calendars, activities, and events, including creating Power Point presentations;
  • Act as the Human Resources Liaison, which includes supporting recruiting, hiring, onboarding, discipline, termination, and participation in Labor Management Committee meetings;

They may assist with contracts and purchasing functions as needed. This position is responsible for independently handling escalated customer complaints, issues, and inquiries, and must determine when management needs to be involved in order to resolve the situation.
Field Tacoma Public Utility Board inquiries, and, occasionally, the City Council.
The successful candidate is one who is collaborative with all levels of an organization; can handle multiple high-level projects with competing priorities and deadlines; and maintain strict confidentiality. They will have the ability to understand and oversee budgets.

QUALIFICATIONS:


Minimum Education*
High School Diploma or GED/Associate's Degree
Minimum Experience*
6 years including 2 years of prior advanced journey or lead experience
  • Equivalency: 1 year of experience = 1 year of education

Desired Qualifications
  • Knowledge of customer service/call center operations
  • Administrative experience reporting to senior level management
