Job Description
Position Title Department Reports to Office Manager Office Vice President Employment Status FLSA Status Effective Date ☐ Temporary ☐ Full-Time ☐ Part-Time ☐ Non-Exempt ☒ Exempt May 2023 Position Summary Supports company operations by maintaining office systems and supervising staff by performing the following duties. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Directs employee training to improve efficiency and ensure conformance with standard procedures and practices. Maintains CSR staff by interviewing, selecting, and orienting employees. Supports CSR staff job results by coaching, counseling, and disciplining employees, planning, monitoring, and appraising job results. Organizes executive's appointment schedule; conserves executive's time by reading, researching, and routing correspondence; completes projects by assigning work to CSR staff; following up on results. Maintains office services by organizing office operations and procedures; preparing payroll; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions. Promotes office efficiency by planning and implementing office systems, layouts, and equipment procurement. Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends. Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records. Inspects branch office installations and facilities to ensure that company service and operating standards are followed. Completes operational requirements by scheduling and assigning employees, following up on work results. Directly supervises ten or more employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems; initiating, coordinating, and enforcing systems, policies, and procedures. Other duties as assigned. Minimum Qualifications (Knowledge, Skills, and Abilities) To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. To perform this job successfully, an individual should have knowledge of Microsoft Word; Microsoft Excel; Microsoft Outlook and Real Green.
