Job Summary:


Join the Department of Medicine (DOM) as the Business Services Manager/Office Manager. This position is a key member of the Department’s central administration, providing direction and oversight for the Department’s Executive Assistant/Business Professionals and Communications team as they support the Department Chair, Executive Vice Chair and Vice Chair’s departmental initiatives and activities. The Business Services Manager will report to and work closely with DOM’s HR Program Director to develop, implement and streamline the Department’s business operations and processes to ensure both efficiency and compliance with university regulations and the Department’s leadership teams goals. This is a full-time position located in Aurora, CO, on the CU Anschutz Medical Campus. The DOM Office Manager is a working supervisory position and is expected to be on campus.

Key Responsibilities:

Executive Administration:

  • Define objectives and expectations, delegate and monitor duties for the Administrative and Communications teams to ensure work is distributed appropriately and deliverables are met.
  • Supervise the Administration and Communications teams which includes all aspects of performance management, such as performance planning, conducting evaluations, resolving disputes, and training (currently 4 full-time FTE’s).
  • Provide backup support to Executive Assistant and Administrative Professionals supporting the Department Chair and Executive Vice Chair and Vice Chairs as needed.
  • Work in conjunction with the Department’s human resources team to manage the recruitment process for faculty positions, which includes oversight of logistical coordination for candidate visits.

Space & Equipment Inventory:

  • Assist with long-range space planning for all aspects of the Department of Medicine including administrative and research space.
  • Manage the annual survey and inventory for office and research space through the Webspace system.

General:

  • Develop procedural and informational materials for the Department including process documentation and various information guides.
  • Assist with ad hoc projects and processes as needed.

Qualifications:


Minimum Qualifications:

  • Five (5) years of progressively responsible experience in an administrative role, including two (2) years of supervisory or team lead experience.
  • A bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • At least two (2) years of experience as a team lead, supervisor, or manager.
  • Experience providing administrative support to faculty and staff in higher education and/or medical education.
  • At least three (3) years of experience in office management, executive assistance, or providing administrative support.
  • Advanced Microsoft Outlook experience, including Microsoft Teams/Zoom for meeting coordination.
  • Training or experience in the following areas: social media strategy and implementation, writing for the web, search engine optimization, content management systems, HTML, and graphic design and video editing.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively, both in writing and orally.
  • Outstanding customer service skills.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Demonstrated commitment and leadership ability to advance diversity and inclusion.
  • Ability to take direction and use independent judgment to coordinate various projects and meet multiple deadlines.

Anticipated Pay Range:


The starting salary range (or hiring range) for this position has been established as $73,135 - $93,028.

The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation depending on the level.
