Job Summary:


The Office Clerk at Nursing South Corp. plays a pivotal role in supporting the operational efficiency of our Home Healthcare organization. This position requires a well-organized and good-spirited team player who can start immediately. The Office Clerk will be responsible for performing various tasks to ensure smooth day-to-day operations within the division.


Duties and Responsibilities:


  • Prepare and distribute internal and external correspondence, memos, reports, and presentations to facilitate effective communication and information sharing.
  • Provide administrative support to the Administrator and executives, including managing calendars, files, meetings, and coordinating processes to optimize efficiency.
  • Coordinate and organize office meetings, and events, including venue logistics, to ensure seamless execution.
  • Serve as a primary point of contact for internal and external stakeholders, managing inquiries, redirecting calls, and providing prompt and helpful assistance.
  • Contribute to the development and implementation of administrative policies, procedures, and best practices, optimizing efficiency and effectiveness.
  • Maintain accurate and up-to-date records.
  • Conduct research and gather information to support special projects, reports, and presentations, contributing to informed decision-making.
  • Support the onboarding process of new employees, including preparing necessary paperwork, coordinating orientation sessions, and ensuring a smooth transition.
  • Collaborate with cross-functional teams, fostering effective communication and teamwork to enhance operational efficiency.
  • Perform various administrative tasks to support the operational needs of the division.
  • Maintains awareness of, and adheres to Policies, Procedures, Directives, Operational Memoranda, and accreditation standards as prescribed.
  • Organizing and maintaining administrative files and documents.
  • Foster a positive and professional work environment, promoting teamwork and cooperation among staff members.
  • Monitor and replenish office supplies and inventory, ensuring availability and operational readiness.
  • Maintain accurate and up-to-date records, files, and documentation, both electronically and physically, ensuring confidentiality and compliance with regulatory requirements.
  • Ensuring the confidentiality and security of sensitive information and documents.
  • Coordinate and track the progress of divisional projects, ensuring tasks are completed on time and following up on action items.


Qualifications:


  • Strong interpersonal skills and the ability to work well in a team-oriented environment.
  • Ability to handle confidential information with discretion and maintain strict confidentiality.
  • Previous experience in the healthcare industry or home healthcare setting is a plus.
  • Excellent verbal and written communication skills.
  • Proficient in English and spanish.
  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • Proficient in using office software (e.g Microsoft Office Suite) and other relevant tools.
  • Proven experience as an administrative assistant, secretary, or similar role.
  • Strong attention to detail and accuracy in completing administrative tasks.
  • Flexibility to adapt to changing priorities and readiness.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.


Schedule:


  • Monday to Friday
  • 8 hour shift
