Homelessness is the largest social and public health crisis in California. Illumination Foundation (IF) is a growing non-profit organization dedicated towards disrupting the cycle of homelessness by providing targeted, interdisciplinary services in our recuperative care centers, emergency shelters, housing services and children’s and family programs. IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.


The Office and Purchasing Coordinator primarily provides administrative, clerical, and office support to the infrastructure department. This position will be responsible for purchasing, receiving, documenting, and accurately tracking all information needed for proper inventory. The pay range for this position is $20- 23 per hour, depending on experience.


Job Duties:


Office


  • Respond to requests and questions about office operations
  • Oversee day-to-day office protocols as the main point of contact in the reception area, and keep management informed regularly via end of day emails.
  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondences, and overseeing supplies and equipment
  • Manage all incoming office related deliveries, and distribute them appropriately.
  • Safety Officer for Cerritos: including maintaining COVID protocols, parking enforcement, safety committee member, etc.
  • Oversee and maintain office equipment(Shred Wise Bins, Flow Water, etc.) for uninterrupted function, identify needs and acquire supplies, and manage vendor relationships.
  • Coordinate Cerritos office events (DEI activities, Safety Drills, Holiday events, etc.)


Purchasing


  • Work closely with the procurement and purchasing specialist to evaluate suppliers by considering price, quality, availability and other criteria.
  • Interact with suppliers to schedule delivery times and resolve shipping errors
  • Assist with CalAim including but not limited to: purchasing, researching pricing, scheduling deliveries with the Warehouse department, tracking deliveries, etc.
  • Perform necessary research pertaining to assigned special projects.
  • Continuously process and track purchases, returns, deliveries, and completing proper documentation of incoming inventory through Fishbowl.
  • Provide administrative support as needed, including scheduling appointments, meetings, reserving transportation and or conference rooms.
  • Assist with processing returns
  • Manage Bill.com invoices for US Foods, Shamrock, and assists with others as needed.
  • Manage weekly food ordering (US Foods, Shamrock, Walmart), purchase orders, purchasing, deliveries, and feedback reports to management.
  • Assist with Vortex orders, purchase requests, and Fishbowl dropship items.
  • Troubleshoot missing items, damaged items, late deliveries/statuses, and credits.


Required:


  • Valid CA Driver’s License and eligibility for company vehicle insurance.
  • High School Diploma or equivalent
  • Proficiency in Google Suite (Mail, Docs, Sheets, Calendar).
  • 1 year of relevant experience
  • Proficient computer skills
