Job Description

Salary Range – $48,000-$54,000 per year, commensurate with experience

The BID 32 Office Administrator is a full time unlimited term employment opportunity to support the Business Improvement District, administer its operations and implement its programs. The BID 32 is governed by a Board of Directors, is guided by an approved annual budget and operating plan, and serves the interests of the District’s property and business owners. The BID 32 administers various contracts to execute its programs and is also responsive and cooperative with area partners and organizations as well as funders

ESSENTIAL DUTIES AND RESPONSIBILITIES – ADMINISTRATIVE

  • Bookkeeping
    • Receive and deposit BID payments, generate and send out acknowledgement letters
    • Receive and trigger payments of bills with accounting team
    • Receive bank statements and forward to Accountant and Treasurer
    • Work with Treasurer to ensure timely payments
  • Support Chair/Secretary to send out notices/agendas, minutes and financials
  • Set regular meetings with BOD Officers to report and review progress, plan and execute tasks, generate and submit biweekly reports
  • Monitor and maintain phone, email and website for BID 32
  • Organize office operations and procedures
  • Manage calendar of reporting
  • Maintain all records required by the City of Milwaukee
  • Work with Treasurer to ensure timely payments
  • Support BOD meeting scheduling
  • Receive bank statements and forward to Accountant and Treasurer
  • Grant compliance
    • Manage calendar of reporting
    • Generate grant reports in partnership with Officers and Accountant
  • Work with Board Officers for successful implementation of BOD matters
    • Support Officer meeting scheduling
    • Support BOD meeting scheduling
    • Create and send out calendar and reminders
    • Support Chair/Secretary to send out notices/agendas, minutes and financials
    • Support Chair/Secretary to monitor and support keeping active BOD member terms
    • Support Chair for BOD membership recruitment, onboarding of new members
    • Support and attend Committee meetings
  • Draft and support BOD to create annual Operating Plan
  • Support Chair for BOD membership recruitment, onboarding of new members
  • Create and send out calendar and reminders
  • Design and manage filing systems, review and organize Google cloud file system
  • Monitor and implement social media strategy
  • Support Officer meeting scheduling
  • City compliance
    • Maintain all records required by the City of Milwaukee
    • Draft and support BOD to create annual Operating Plan
  • Control BID 32 correspondence/communications
    • Monitor and maintain phone, email and website for BID 32
    • Respond to calls, voicemails and emails
    • Monitor and implement social media strategy
  • Respond to calls, voicemails and emails
  • Generate grant reports in partnership with Officers and Accountant
  • Support Chair/Secretary to monitor and support keeping active BOD member terms
  • Support and attend Committee meetings
  • Receive and deposit BID payments, generate and send out acknowledgement letters
  • Receive and trigger payments of bills with accounting team
  • Achieve financial objectives by preparing annual budget, scheduling expenditures, identifying revenue sources
  • Identify opportunities for process and office management improvements, and design and implement new systems

ESSENTIAL DUTIES AND RESPONSIBILITIES – PROGRAMMATIC (As outlined in BID 32 2023 Operating Plan and prioritized below)

  • Other Duties as assigned –
  • Consistently monitor Focus Areas and Activities from Operating Plan; generate deliverables and timelines, metrics, and track in monthly reports.
  • Generate and send out periodic external communications via mail, electronic mail, and social media.
  • Assist with community events and community engagement
  • Champion implementation of Annual Operating Plan.
  • Maintain accurate and highly organized records of activities
  • Support keeping office neat, clean and organized
  • Support fund development via identification of opportunities and writing as needed
  • Support marketing initiatives
  • Work with BOD to identify priority Activities.
