Job Description
OFFICE ADMINISTRATOR
Sightpath Medical is the premier cataract and LASIK mobile services provider in the U.S. We have an opening at our headquarters in Bloomington, MN for an Office Administrator.

This position will provide administrative and logistical support to facilitate the smooth and efficient operation of the organization’s headquarters office.
Job Duties
General Office Duties
  • Provide clerical support for special projects
  • Assist with travel planning and dining arrangements
  • Assist in the planning and coordination of office events
  • Update intranet pages as directed by department leaders
  • Coordinate building maintenance and repairs with the property manager
  • Ensure orderly appearance of common areas and conference rooms
  • Other administrative duties as assigned
  • Field incoming phone calls for main office line
  • Welcome guests and direct delivery personnel
  • Monitor inventory of office supplies and restock as appropriate
HR Support
  • Update employee directories
  • Prepare new hire welcome packet and arrange for delivery to employee
  • Publish internal welcome announcement
  • Order name plates, badges and business cards as needed
  • Assist with new employee onboarding
Legal and Compliance Support
  • Run various contract reports
  • Maintain various spreadsheets used to track and monitor contracts
  • Track state filing deadlines and monitor state filing notices for legal entities
  • Distribute new contracts and amendments to internal and external stakeholders
  • Enter contract data in centralized contract tracking system
  • Maintain and update contract systems
  • Assist with preparation of annual reports and similar state filings for legal entities
Operations and Inventory Support
  • Upload surgeon preference forms to the intranet
  • Track and reconcile daily service paperwork
  • Compile and distribute monthly sales report
  • Coordinate meetings for operations team
Accounting Support
  • Update expense report approver rights when needed
  • Train new hires on expense reporting system and policy
  • Assist accounting team in researching and resolving cardholder issues
  • Assist cardholders with adjusting credit card limits, and reporting and replacing lost, stolen or compromised corporate cards
  • Request credit cards for new hires and cancel credit cards as directed by human resources
  • Assist with the administration of the corporate credit card program
  • Field questions from employees
Requirements
  • At least 1 year of administrative experience
  • Flexibility to adjust priorities as business needs dictate
  • Working knowledge of salesforce.com software is preferred
  • High school diploma or equivalent
  • Proficiency with MS Word, Outlook and Excel
  • Attention to detail
  • Strong communication and interpersonal skills
  • Ability to work with minimal supervision
  • Exceptional organizational skills
  • Ability to maintain confidentiality
