JOB SUMMARY:
The Office Administrator is responsible for front desk and general office duties, assisting with invoice coordination, business expense processing, and providing support to the administration and management staff in various states while always cultivating and maintaining positive business relationships.
ESSENTIAL FUNCTIONS:
  • Responsible for the preparation and processing of all expense reports, per diems, reimbursements & personal mileage reports.
  • Assist in general office duties including making copies, scanning documents, and mailing.
  • Assist with maintaining the organization of various files, and project documents.
  • Open, sort, distribute incoming mail, and prepare outgoing mail with the correct postage.
  • Assist with tracking contracts, purchase orders, and subcontracts with the administration team.
  • Assist in ordering and organizing office supplies.
  • Responsible for reconciling vendor statements and expense statements.
  • Perform other duties as assigned.
  • Assist with the flow of the OnBase invoice system.
  • Work in a constant state of alertness and in a safe manner.
  • Provide front desk support, greet visitors, answer, and direct incoming calls, and take messages.
Supervisory Responsibilities
  • This position has no supervisory responsibilities.
KNOWLEDGE, SKILLS, & ABILITIES:
  • Knowledge of basic administrative skills and ability to perform related tasks.
  • Ability to safely and efficiently operate a motor vehicle.
  • Ability to do basic math: addition, subtraction, division, multiplication, and finding percentages.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to exercise resourcefulness in assisting management & co-workers.
  • Ability to work with a high level of accuracy.
  • Ability to demonstrate strong project management and organization skills.
  • Ability to learn and understand the Company’s Standard Operating Procedures (SOPs).
  • Ability to write routine reports and correspondence.
  • Ability to learn new applications.
  • Ability to manage time effectively.
  • Excellent oral and written communication skills, and ability to multi-task
  • Ability to work in a Native Corporation multi-business environment.
  • Excellent analytical and technical skills.
  • Ability to do business ethically with customers, vendors, and co-workers.
  • Ability to maintain a professional appearance.

  • Ability to operate standard business computers utilizing business applications Microsoft Office Suite.
QUALIFICATIONS:
  • High School diploma or equivalent required.
  • Ability to pass a drug, driving, and background screening.
  • Administration construction and marine experience preferred.
  • Valid state Driver’s License and be qualified to operate a vehicle under the conditions of the Company’s Driving Policy.
  • Previous office administration experience preferred.
WORKING ENVIRONMENT:

Brice Civil Constructors has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes and occasional overtime for immediate field support or bid processing may be necessary.
