Title: Medical Secretary (Medical Support Assistant Advanced)

The Department of Veterans Affairs, VA White River Junction, VT Healthcare System, is seeking Medical Support Assistants at the Bennington, VT, Brattleboro, VT, Burlington, VT, Keene, NH, Littleton, NH, Newport, VT, Rutland, VT and White River Junction, VT locations. These positions are in a variety of clinics such as, but not limited to: Primary Care, Surgical Services, Mental Health, Geriatrics & Extended Care, Emergency Room/Urgent Care, Care in the Community, Nursing Services, Patient Services, Radiology, Dental, Physical Medicine & Rehabilitative Service, Whole Health, and various specialty clinics.

The Medical Support Assistant will provide administrative support to our physicians, other clinical and support staff, and especially to our nation’s Veterans. The Medical Support Assistant will have an impact on the Veterans’ experience by being the first face of the clinic and navigating them through the beginning and end of their visits. The Medical Support Assistant position is an integral part of providing outstanding care for our Veterans and we are looking for the right candidates to join our organization.

Responsibilities:
Some duties include, but are not limited to:

  • Completes daily review of, and completes follow-up actions for, active/pending consults, no-shows, electronic wait list, recall list, return to clinic orders, etc.
  • Responsible for greeting and assisting Veterans, caretakers, visitors, employees, and vendors. Maintains a professional attitude and provides for a positive and welcoming environment.
  • Receives and responds to incoming phone calls from Veterans, caretakers, visitors, employees, and vendors.
  • Responsible for all administrative office support for the Department/Unit and creates a positive experience for our Veterans, caretakers, visitors, employees, and vendors.
  • Maintains office supplies inventory by checking stock, anticipating needs, placing, and expediting orders, verifying receipt. Assist in the care and maintenance of equipment.
  • Utilizes computerized scheduling software to make, cancel, or amend patient appointments, following national and service-specific scheduling guidelines.
  • Processes return to clinic orders, clinic cancellations, and other provider-initiated scheduling activities.
  • Checks Veterans in and out using the electronic medical records system, verifying demographics, insurance and updating patient profiles.

Job Requirements:
This job level requires the minimum of one year experience, including Clinic experience in a hospital or doctor's office setting to include scheduling a high volume of appointments annually. High level customer service skills as evidenced by daily interaction and communication with clinicians, patients, families, and coworkers. Evidence of work in a clinic setting with multiple inputs (in person, telephone, instant message communications) that need timely and professional resolution. Evidence of specific computer scheduling programs or software utilized in a clinic or hospital. AND

  • Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
  • Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
  • Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
  • Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
  • Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
  • Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
