Job Description
We are looking for a Medical Receptionist to join our team. This candidate will serve as a secondary telephone person, directing all calls to the appropriate person. Acts as a host/hostess, warmly greeting patients and notifying the appropriate staff members of their arrival. Demonstrates sensitivity to patients needs and requirements. Demonstrates superior telephone and interpersonal skills. Must present professional decorum at all times.


Telephone and Greeting


  • Triages all calls to appropriate personnel.
  • Welcomes patients.
  • Answer telephone calls promptly and in a friendly manner.
  • Makes appointments on as-able basis.


Chart Administration


  • Verify spelling of patient’s name in EMR.
  • Enter Meditech numbers if required.
  • Makes certain that patient records/EHR records are available and encounter form is attached.
  • Keeps loose notes on file to a minimum and help files charts when able.
  • Registers all patients and checks insurance information as well as other demographics.
  • Enters referring PCP in the patient’s electronic medical chart.
  • Verify insurance eligibility for each patient on current visit.
  • Verify referral and print off from POS machine when patients arrives for appointment.


Other Responsibilities


  • Reviews Medical records for next day’s appointments.
  • Printing schedules for all providers on a daily basis.
  • Backs up check-out and other staff when needed.
  • See that the phone is answered before the third ring at all times. Collect and respond to messages left on the voicemail.
  • Keeps waiting room free of expired magazines, litter, and keeps organized.


Check Out Responsibilities


  • Collects fee for services.
  • Balances money before lunch and at the end of the day. If payments are not balanced, leave notice to billing. All change is to be counted daily and documented and locked up in the safe at the end of the day. Keep daily log of cash in each office.
  • Initials encounter forms.
  • Schedules return appointments for follow-up accurately.
  • Processes patients at conclusion of visit. Reviews encounter sheets for correct changes, diagnosis marked, provider signature and follow up appointment.
  • Ensures patient satisfaction.
  • Provides any special instructions to patients upon leaving such as lab slips.
  • Writes out next appointment on card accurately.
  • Create TOS money sheet at end of the day. Verify all money against printed sheet.
  • Patient Check- Out
  • Place in sealed batch bag and log in batch folder. Send to business office in locked courier bag.
  • All checks are to be stamped with the DEPOSIT stamp.
  • Explains all fees and patient financial responsibility.


Administrative


  • Turn off computer at end of day.
  • Support APDerm’s mission and culture of high-quality standards by carrying out applicable policies, procedures and established industry standards, laws and regulations. Examples include adhering to privacy and data protection practices, ensuring a safe workplace, and reporting observed or suspected behavior and actions that do not meet APDerm standards.
  • Performs other duties as required.
  • Enter MEDITECH numbers in patient’s electronic chart.
  • Creates appointment recalls in Athena for future visits.
  • Assist in general office duties and other duties as required.
  • Complete all assigned required training by the deadline including, but not limited the Code of Conduct, Privacy & Data Security, and OSHA.
  • Check APDERM smart mail and respond accordingly to any requests.
  • File charts accurately.
  • Checks the reschedule and appointment.
  • Maintains a ONETeam mindset using the foundation of our core values, the 3Ps Positivity, Productivity, and Professionalism.
  • Check all offices out boxes throughout the day even if the provider is not working.
  • Scan required documents into patient’s electronic chart.

  • 2 years’ experience in a medical office/physician practice
  • Ability to multi-task / prioritize
  • Fluency in English / Bilingual fluency preferred
  • Superior problem-solving skills
  • High School Diploma / GED equivalent required
  • Complete Administrative Proficiency (MS Word, Excel, Powerpoint, Web-based applications, email, HRIS systems)
  • Superior written and verbal skills
