Position Overview:

The Marketing Project Specialist will lead and execute successful delivery of projects for the Integrated Marketing, Creative Services, Events, and Go-To Market teams. Projects include but are not limited to marketing calendar management, clinic event coordination, sourcing and hiring event vendors, signage management, and new clinic tactic launches. This role requires seamless communication with Marketing channel owners and key stakeholders and exceptional project management skills.


Location:

The ideal candidate will be located in the Greater Seattle area. This is a hybrid position; Employee can work remote but must be able to go into local clinics on a regular basis as needed with occasional travel to other clinics.


What You’ll Do:

  • Assist with other duties and special projects as assigned
  • Ensure seamless collaboration between Head of Creative and external creative contractors using creative project management software to oversee creative projects from initiation to completion
  • Manage the marketing email inbox, tracking and addressing clinic and provider requests, communicating with key stakeholders on fulfillment
  • Manage the new clinic opening project by tracking tasks to ensure an on-time delivery of tactics. This includes prioritizing projects to meet deadlines and working collaboratively and resourcefully
  • Act as a central point of contact for internal stakeholders for any marketing needs or assets to drive business performance
  • Creative Services
  • Provide support in the production of new clinic photoshoots and annual large-scale shoots
  • Provide on-site event support as needed
  • Oversee and manage the successful execution of various creative projects including but not limited to email marketing, social media, digital ads, website updates, visual merchandising signage, new clinic “coming soon” graphics, direct mail, and videos
  • Communicate with property management, landlords, leasing agents and other stakeholders regarding events to understand their requirements
  • Research city regulations around hosting public events and apply for required permits
  • Manage the integrated marketing calendar by keeping it up to date and ensuring task completion

  • Ensure creative briefs are complete before creative work begins and address project-related queries, concerns and deviations/ changes to the original creative briefs
  • Manage and archive creative files


What You’ll Bring:

  • 2+ years of proven administrative or project management experience required; experience within a creative services or marketing environment a plus
  • Strong interpersonal and communication skills, with the ability to collaborate effectively with cross-functional teams and external contractors
  • Ability to travel up to 5-10% of the year
  • Demonstrated ability to manage multiple projects simultaneously
  • Proficiency with task management or project management tools/systems; experience with DropBox and/or BaseCamp a plus
  • Excellent organizational skills with high attention to detail, with the ability to prioritize tasks effectively and meet deadlines in a fast-paced environment
  • High School Diploma required; Bachelor’s degree in related field preferred
  • Proficiency in Microsoft Office and ability to quickly learn new technology platforms
  • Demonstrated ability to adapt to changing priorities and manage ambiguity while maintaining a positive and solution-oriented approach
  • Ability to work well autonomously and within a team in a fast-paced environment


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Occasionally lift and/or move up to 20 pounds
  • Occasionally stand, walk, use hands and fingers, handle or feel, reach with hands and arms, climb or balance, stoop, knee, crouch or crawl, talk and hear


Compensation Range: $60,000 - $80,000 (plus bonus potential)
