Job Description
The Marketing Coordinator is a critical role within the Marketing Operations team that focuses on the tactical execution of trade shows, events, and show-related media campaigns. This is a highly collaborative position requiring a superior level of attention to detail and excellent communication skills.
Responsibilities
  • Maintains the annual calendar of show and event dates and commitments. Delivers content to the Website team to update schedules.
  • Monitors and updates inventory levels with partner vendors.
  • Regularly engages in educational opportunities related to the healthcare industry, marketing technology and professional development.
  • Tracks all invoices and payments against the pre-determined budgets.
  • Tracks all trade shows, goals, logistics, and costs for team visibility.
  • Works regularly within the company’s automation tool to develop and grow our communication capabilities.
  • Books and coordinates booth (or table) registration and payments.
  • Processes all pre-approved payments related to show activities and tracks as determined by Campaign Manager.
  • “Power user” of the team’s project management platform, Monday.com.
  • Supports the marketing department’s trade show engagement initiatives.
  • Coordinates accurate and on-time delivery of booth and display materials and communicates necessary logistics with Campaign Manager.
  • Creates, proofreads, and tests outgoing communication on desktop and mobile and across various browsers.
  • Organizes pre-show information and distributes it to internal attendees ahead of show and event. Ensures timely updates as they arise through the event dates.
  • Maintains, updates and flags projects and tasks at risk.
  • Processes payments for annual memberships and sponsorships as deemed by leadership.
  • Orders marketing materials and promotional items as agreed upon with Campaign Manager and Show team.
  • Creates event-related and/or content-focused emails related to trade shows and events with assets and content provided by internal partners and/or external agencies.
  • Brings forward sponsorship opportunities to Campaign Managers and other stakeholders for review.
  • Works directly and takes direction from Trade Show Campaign Manager to execute on goals.
  • Other projects as requested by Trade Show Campaign Manager or Marketing Operations Group Lead.
  • Partners with our promotional and display system vendor to ensure booth systems, displays and signage are in excellent condition following each show and prior to any new ones. Elevates any concerns or issues to leadership.
  • Coordinate pre-show attendee reach out and works with team to identify potential prospects and clients ahead of the shows in partnership with Trade Show Campaign Manager.
Requirements
  • Bachelor’s degree in business administration, marketing, communications, or a related field.
  • Digital marketing experience, specifically email creation, is required.
  • Numbers driven – this individual should have an appreciation for accounting, budgeting, and tracking, and creating efficient processes.
  • Ability to anticipate the needs of others and are eager to apply knowledge to help clients and co-workers every day.
  • Must be a self-starter and able to independently move projects forward, prioritize tasks and meet deadlines.
  • Inherently curious and always asking “how might we do this better?”
  • Pro-active communication style.
  • Superior attention to detail.
  • Proficient in Microsoft Suite applications.
  • Must be able to work across multiple levels and functional areas of the organization and synthesize information down into a user-friendly experience.
  • 2-5 years of experience within a marketing department with exposure to trade shows.
  • Ability to juggle priorities and multi-task.
  • Occasional travel required.
