Nest was co-founded by Dr. Rebekah Gee, the former Secretary of Health for the State of Louisiana and the former CMO for Medicaid and the Title V program; and Rebecca Kavoussi, former Western US President at Landmark Health and former head of global clinical operations at Babylon Health. Role Summary


The Special Projects Manager & Executive Assistant will have an in depth understanding of Nest business priorities and strategies in order to provide proactive support to the CEO and COO. This includes understanding organizational priorities, functions and rhythm of the business; collaborating across the Nest Leadership team; developing agenda and creating presentations for meetings; facilitating meetings and driving action items and follow up; writing and analyses on a variety of topics, including policy, regulatory, fund raising, et al; and managing special projects across multiple domains. The right candidate will be intensely curious and proactive, with a desire for career growth at Nest in operations, product, strategy, or a chief of staff-type role.


What You’ll Do


  • Facilitate Executive and Leadership team meetings, including proactively developing agendas that align with organizational strategy and priorities, note taking, and ensuring timely follow up
  • Administrative Support:
  • Write original materials for CEO office and Nest communications to employees, LinkedIn, et al
  • Ensures CEO and COO meetings have agendas, meeting materials, notes/documentation
  • Assist CEO, COO and leadership team in complex travel planning and logistics, event planning
  • Understand CEO and COO priorities and act as air traffic controller through effective schedule and meeting management/triage and related administrative support, with assistance from an administrative assistant
  • Support board and investor meetings and communications, including drafting investor & board updates; project managing board and fundraising deliverables and schedules; ensuring board packets are disseminated timely; developing agendas and PPT presentations and associated materials; taking minutes; and ensuring follow through


Handle email correspondence, phone calls, and other forms of communication on behalf of Nest founders, ensuring timely responses and appropriate prioritization.


  • Operations:
  • Streamline administrative processes; create and implement efficient systems, and identify opportunities for optimization, including building and maintaining tracking tools and systems to ensure careful documentation and tracking of discussions and meetings for longitudinal initiatives like fund raising, contracting, etc


Maintain and organize the company's documents and files, including continually improving SharePoint organization and utilization.


  • Relationship Building
  • Coordinate and organize company-wide events, team-building activities, and retreats
  • Manage special projects across multiple domains, including understanding requirements, building project plans, engaging employees and consultants, and executing to schedule
  • Assist in the execution of strategic projects, ensuring alignment with organizational priorities
  • Monitor and report on key performance indicators (KPIs) and provide regular updates to the executive team
  • Contribute to strategic planning initiatives, providing input and assisting with the development of long-term goals and objectives
  • Help prepare executive-level presentations and reports, summarizing key insights and recommendations
  • Strategic Planning & Execution:
  • Conduct research and analysis to support decision-making and present findings to the executive team


Act as a liaison between the CEO and other departments, as well as external contacts


Experience, Qualifications & Skills


Bachelor’s degree in business administration, management, or related field required. Master degree preferred.


Minimum of 3 years’ experience as an executive assistant or similar role requiring complex organization and proactive and strategic thinking; 5+ years preferred


Strong organizational and time management skills


Excellent written and verbal communication skills


Strong attention to detail and ability to proofread


Ability to handle confidential information with discretion


Proven ability to work independently and handle multiple tasks simultaneously


Proficient in Microsoft Office (Word, Excel, PowerPoint) required. Experience with Salesforce and/or social media tools is a plus.


Experience working in a start-up environment is a plus
