The department of Supply Chain has an exciting opportunity for a Full Time Manager, Mailroom to work at UHealth. The Manager, Mailroom oversees and manages mailroom activities, including the sorting, processing and delivery of mail and overall mail-handling practices/procedures.

  • Manages inventory levels. Orders and oversees receipt and allocation of office and mail processing supplies.
  • Addresses any escalated customer grievances regarding mailroom services. Takes a lead role in investigating missing mail and/or packages.
  • Identifies opportunities for operational improvements by working with leadership to implement any changes.
  • Acts as liaison to other departments, staff, and leadership regarding mailroom operations and service.
  • Hires, trains, and manages subordinate staff in the day-to-day performance of their duties and is responsible for conducting performance evaluations.
  • Ensures the effective and efficient workflow of the mailroom by developing work schedules to ensure adequate staffing at all times.
  • Ensures employees are trained on controls within the function and university policy and procedures.
  • Establish, monitor, and revise policies, procedures, and service standards for mail, courier, and distribution services periodically.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
  • Produce reports based on data collected from logistical/mail software systems by scanning, logging and appropriate record-keeping and documentation practices.
  • Directs and ensures compliance with established policies, procedures, and standards by the mail team.
  • Establishes and maintains a record-keeping system for all mail services regarding volume, damages, safety incidents, productivity, etc.

Minimum Qualifications

  • Bachelor’s degree required
  • Minimum 5 years of relevant experience

Knowledge, Skills and Attitudes:

  • General knowledge of office procedures and operations
  • Ability to communicate effectively in both oral and written form
  • Ability to recognize, analyze, and solve a variety of problems
  • Ability to accurately prepare and maintain records, files, reports and correspondence
  • Ability to direct, manage, implement and evaluate department operations
