Summary Description


This position is responsible for being the first point of contact for visitors to Crisis24’s location at 185 Admiral Cochrane Drive, Suite 300, and will deal with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.  This position will support general office management including facility related matters concentrated on office machines, supplies, vendors and coordination with facility management for operating issues as they may arise.  In addition, this position will be responsible for the overseeing the travel tool and program, coordinating of meetings and conferences, and general assistance to Crisis24 Senior Management Team, Finance/Administration, and Marketing.  This position also will be Supervisor to the Receptionist.



Essential Duties/Responsibilities


  • Assist with general duties for the Crisis24 Senior Management Team, and other executives as needed
  • Other duties and responsibilities as assigned by management
  • Coordinate internal meetings including communications, reservations, and logistics preparation.
  • Assist Finance with accounting related tasks as needed including but not limited to UNANET and DYNAMICS
  • Ensure orderly and professional appearance of office and common areas
  • Interface with IT related to AV and other equipment located in conference rooms and common areas and ensure in working order
  • Assist Facilities with miscellaneous tasks including assigning entry/access cards, oversee security monitors.
  • Assist Marketing with adhoc tasks as needed
  • Administer the Travel tool and assist with onboarding and training as well as assist with Travel & Expense policy and procedures
  • Maintain all policies and procedures related to facility access and operations
  • Supervise Receptionist and activities associated with this position in addition to performing these duties as needed.
  • Oversee mail distribution and assist as needed
  • Oversee inventory of all office supplies and assist in ordering as needed while staying in line with budgets and seeking savings regularly
  • Manage ISO27001 responsibilities related to facility, access and admin systems
  • Responsible for general office management, including but not limited to, maintaining office equipment including vendor/contract management
  • Responsible for corporate credit card orders/authorization/signing and reconciliation
  • Assist the Marketing Operations Manager in maintaining VIP visitor process and regularly solicit feedback to make appropriate updates


Any combination of education and experience providing the required skill and knowledge is qualifying.  Typical qualifications would be equivalent to:


Education Requirements


  • High school diploma and College studies or degree preferred


Work Experience


  • 5+ years in a professional/business setting preferred


Skills


  • Resourceful and self-motivated
  • Strong accountability to work through issues and meet deadlines
  • Research information to support organization and projects as necessary
  • Knowledge of Microsoft Office Suite (, i.e. Word, Excel, Outlook, and PowerPoint), Adobe Acrobat and Social Media web platforms recommended
  • Knowledge of Salesforce.com, Microsoft Dynamics (financial system), and/or MS PROJECT would be a plus.
