JOB SUMMARY
Reporting to the Building & Grounds Director, the Maintenance Manager supervises and coordinates activities of maintenance technicians and other appointed contractors and service providers engaged in maintaining and repairing the community’s physical assets and property. This position is subject to call backs during emergency conditions such as after-hours and weekend maintenance needs, severe weather, evacuation and post-disaster support. The Maintenance Manager respectfully interacts with all residents, family members, visitors, colleagues and staff. This is a safety sensitive position.
ESSENTIAL FUNCTIONS

Provides outstanding customer service by ensuring that residents and families receive the highest quality of service in a caring and compassionate atmosphere, which recognizes the individual’s needs and rights
- Evaluate production schedules and allocate workers to satisfy the requirements for completing routine job assignments and keeping time and production both effective and efficient
- Continuous monitoring of the completion of preventative maintenance duties and work orders that ensures they are completed within 48 hours, unless elevated to the Buildings & Ground Director for extenuating circumstances, and communicated to the residents or staff members affected
- Responsible for assuring the overall quality and efficiency of maintenance activities in compliance with established standards, policies and work routines
- Manage maintenance processes and operations under the direction of the Buildings & Grounds Director
- Helps facilitate continuous improvement for the department and employee growth plans as an opportunity to promote within the organization
- Prepare and submit timely estimates and reports as requested by the Buildings & Grounds Director
- Review safety data sheets (SDS) for potential exposure to hazardous chemicals used and takes necessary precautions under the control and oversight of the department
- Maintain effective and skilled workers by interviewing, hiring and training qualified candidates. Continually monitors skills while training, coaching and encouraging them to use and enhance skills
- Schedule maintenance HVAC, elevators, fire and sprinkler equipment, generator, landscape, kitchen equipment, and emergency response systems
- Ability to motivate others and maintain good working relationships with all staff, residents and families
- Track expenses and oversee budgets for routine preventative maintenance and work orders
- Interviews, hires, and trains maintenance technicians; plans, assigns, and directs work; appraises performance; rewards and disciplines; addresses complaints and resolves problems with the input and guidance of the Building & Grounds Director and Human Resources
- Maintain proactive communication and effective relationships with local fire marshall, building inspectors, state elevator inspectors, and any other jurisdictions regulating the buildings and grounds
- Maintain regular and reliable attendance is an essential function of this job
- Facilitate maintenance charges to the accounting office, as required, for extra services requested by residents that were disclosed and approved in advance by the resident
- Maintain control of inventory of tools, equipment, and supplies. Research and order parts and equipment for work order needs under the direction of the Buildings and Grounds Director
- Maintain preventative maintenance and work order system that organizes and assigns technicians and service provider to perform such duties and requirements in a timely manner.
- Proactively conduct weekly inspections of the buildings and grounds to detect and resolve problems
ESSENTIAL MENTAL AND PHYSICAL FUNCTIONS
The essential mental and physical functions listed below are required in order for an employee to be able to perform the essential functions of this position.
- Repetitive actions/motion of one or both hands
- Ability to read and write, follow written and verbal instructions, and communicate effectively in English
- Walking long distances daily
- Standing for long periods of time
- Hearing ordinary conversation and office sounds
- Thinking critically; defined as reading, understanding, and taking appropriate action on detailed and complex information
- Lifting, pushing and carrying up to 100 lbs
- Verbal communication in person and on the phone
- On-call rotation with other staff of the department
- Work schedule includes evenings, weekends and holidays as needed
- Written communication by hand and on PC
MINIMUM QUALIFICATIONS
- Five or more years in a maintenance role with proven success in such responsibilities and effective skills in working with teams, outside contractors, and customers
- Computer literacy which includes, but is not limited to, Microsoft Office suite and preventative maintenance and work order programs
- Good organizational and supervisory skills
- Detailed understanding of HVAC systems, chillers, generators and other engineering related components
- Understanding of Florida building codes/laws and State/Federal Regulations for apartments and homes and healthcare facilities such as assisted living and skilled nursing facilities
- High school diploma or GED
