Reporting to the Facilities Director, This position performs a wide variety of administrative and facilities-related tasks for the County's Maintenance department. A few of the common tasks include receptionist and administrative assistant tasks, administering employee access badges and keys, escorting vendors, purchasing supplies, distributing emergency repair calls to department technicians, and performing minor maintenance activities.
Key Responsibilities
  • Other Duties as assigned.
  • Administer building and office door key program.
  • Work with vendors to obtain pricing; schedule vendors for work on the campus and escort vendors throughout the buildings as needed.
  • Perform work within several maintenance software programs including Facility Dude work order system, Metasys building automation system, Microsoft office applications and the Pinnacle card access system.
  • Perform various clerical duties; acts as departments receptionist; sorts and distributes mail; prepares letters, correspondences and reports; maintains office inventory; answers telephones providing information, assistance with incoming maintenance requests and dispatches maintenance staff for emergency calls.
  • Perform light maintenance work, inspections and preventative maintenance work orders. Examples include but are not limited to routine inspections of life safety systems such as fire extinguishers, exit and emergency lighting, basic repairs, painting, grounds maintenance and assisting with basic snow and ice removal.
  • Coordinate and maintain spare parts inventories including purchasing supplies and picking up parts from local supply houses.
Education/Certifications/Experience Requirements
  • Candidate must pass all county and federal background checks and fingerprint checks as a condition of employment.
  • High school graduate with two years of office or general maintenance experience, or any combination of education and experience that provides equivalent knowledge, skills and abilities.
  • This position does require successful completion of a Post Offer Pre Employment Examination (POPE).
Required Or Preferred Skills

  • Ability to operate small equipment such as lawnmowers.
  • Ability to communicate effectively with Maintenance personnel, contractors, Department Heads, county employees and visitors.
  • Ability to use good oral and written communication skills needed to produce professional emails, documents, forms and reports.
  • Ability to understand and efficiently use various computer programs including Microsoft Office and maintenance software programs.
  • Ability to safely drive the county mail van and trucks for deliveries and parts pickup with a valid driver's license.
