Pay: $38800 - $47500 / year
Schedule: M - F; 7:30a - 4:30p
Location: Rio Rancho, NM
JOB DESCRIPTION: Office Services and shipping and receiving plays a pivotal role in providing authentic service experiences that bond the relationship between JLL, our clients and their guests. This position is responsible for oversight of all aspects of office services at a client site and helps ensure all service are being performed to SLA and communicates with the customers on issues pertaining to Office Services and shipping and receiving
PRINCIPLE OFFICE SERVICE DUTIES:
Oversee daily assignment and activity of work orders
Responsible for monthly reporting submittal to FM Site Manager
Provide administrative support
Stocking supply rooms and printers
Provide support for small office moves
Management of conference room bookings, supplies and setups
Enhance user comfort and services by the efficient turnaround of meeting rooms. Push in chairs and arrange evenly; tidy markers/cords/other supplies on tables and in rooms
Check all resource schedulers as applicable to ensure they are in working order. If not, reach out to the appropriate team to resolve it
Wipe down all dry erase boards as needed during daily rounds
Be a partner with IT to ensure proper functionality of conference room equipment
PRINCIPLE MAIL ROOM DUTIES:
Manage mail/package distribution records using appropriate software
Receive incoming packages/pallets and distribute as applicable
Process outbound packages/pallets both domestic and internationally
Process incoming and outgoing USPS mail and distribute as applicable
Dispose of junk mail per client policy
Resolve issues with incorrect, returned mail, and shipments.
Provide support to the site recycling processes, including some processing and reporting
REQUIREMENTS:
High school diploma or equivalent education.
2+ years related experience or equivalent combination of education and experience.
Familiar with Domestic and International shipping requirements.
Familiar with basic photocopier/printer/facsimile technology.
Knowledge of basic network protocol and terminology.
Familiar with Microsoft Office programs such as Word, Excel, PowerPoint, and Outlook.
Must be able to perform basic functions in all programs.
Familiar with basic Conference room booking functions as well as associated technology.
Must be a team player and committed to working in a quality environment.
Proven track record of customer service satisfaction and outstanding customer services skills.
Excellent verbal and written skills required. Perform sensitive and confidential tasks.
Work Environment: While performing the duties of this job, the employee is exposed to shipping/receiving area or an office setting. The incumbent is required to lift weights manually or by pallet jack. Because of the danger involved in lifting weights, safety shoes are worn to protect toes. The incumbent also is required to bend, stoop, climb, and pull while stacking shipments, making deliveries, and preparing pallets.
Physical Requirements: While performing the duties of this job, the employee must be able to stand, walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear and move up to 50 to 100 pounds. Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
