How You Will Contribute:

Manage end to end legal expenditure processes, from onboarding vendors to accruals and payments.

Responsibilities:

Administers the Legal Department's e-billing/matter management system (Legal Tracker), including:

  • First line invoice review/approval
  • Opening and closing matters,
  • Ensuring system rules align with Ciena billing guidelines,
  • Provide system troubleshooting, support and training to all internal and external system users
  • Maintaining law firm/vendor and Ciena user system access,
  • Performance of other data entry and daily system maintenance required to ensure the accuracy and integrity of the system
  • Establishing and managing review of approval workflows,
  • Identifying and reconciling data inconsistencies within the system,

Initiate onboarding process of new firms and legal vendors, and maintain vendor information in Ciena’s financial systems

Work with the external law firms/vendors and the Ciena Legal and accounting departments to ensure proper allocation of matters and invoices and timely approval and payment of invoices

Assists with projects related to reducing legal expenses and improving department efficiencies, including billing processes and procedures

May perform other administrative tasks such as submission of check requests and wire transfers, and responding to audit requests

Research payment status of invoices in Oracle and assist with clearing any errors

Support accruals process with Accounting
