Job Description
Opportunity

The Legal Assistant role provides crucial administrative support to the Legal Services department. The role’s focus is ensuring that the department systems (e.g., document management, Salesforce, calendars, among others) are working effectively. The position will report to the U.S. Legal Services Manager and work closely with Legal Services Department staff providing administrative, logistical, and casework support.

This is an exciting entry-level opportunity for a well-organized, motivated individual interested in refugees, human rights, and immigration.

This role will be based out of IRAP’s New York office and requires in-office presence four days a week with the option to work from home one day per week.


Responsibilities

  • Provide logistical support for team retreats and travel, as requested
  • Drafting declarations with clients based on attorney instructions
  • Administer former client listservs and other channels of communication used by the legal department, liaising with other members of the team to respond to inquiries
  • Other duties as assigned
  • Organizing client meetings and coordinating interpretation
  • Provide administrative support to IRAP to the legal services department on-site at IRAP’s New York office four days a week; daily tasks include processing incoming mail and preparing outgoing submissions to government agencies and other outgoing mail
  • Coordinate administrative and logistical support for IRAP’s work with law school chapters, law firms, interpreters, and volunteers
  • Provide administrative support for hiring of intern and department staff positions
  • Provide support to IRAP attorneys for their direct services casework as needed and as capacity allows. Examples of casework tasks include:
  • Engage in special projects
  • Drafting forms under the supervision of an attorney (e.g. G-28s, I-765, I-130, etc.)
  • Enter, maintain, and organize data in our case management database regularly
  • Gathering and organizing documents
  • Maintain and organize electronic and hard copy filing systems, including case files and attorney correspondence files
  • Coordinate administrative and logistical support for casework quality assurance mechanisms, such as preparing files to be placed with pro bono teams for assistance and assisting with intake scheduling and interpretation
  • Conduct intakes with potential clients as needed

Qualifications

  • Ability to multitask and juggle numerous projects and tasks
  • Strong interpersonal and communication skills, both oral and written
  • Excellent oral and written skills are required in English and with proficiency in Dari, Pashto, Spanish or Haitian Creole preferred
  • Sensitivity to client empowerment and to working with clients of all backgrounds, including LGBTI clients, survivors of trauma, and other vulnerable populations a plus
  • Strong understanding of technology systems, including Microsoft, Adobe, and Google Suite Experience with Salesforce is a plus
  • Educational and experience required:
  • Associate’s Degree with 2+ years of relevant work experience; or
  • Strong organizational skills, analytical skills, and attention to detail
  • Bachelor’s Degree; or
  • 4+ years of relevant work experience

Location:
The candidate will work in IRAP’s U.S. office in New York City.

Compensation

The annual full-time equivalent salary range for this position is $51,999 - $68,093, commensurate with experience. May be subject to a collective bargaining agreement.
