Coke Florida is looking for a Legal Assistant to work out of our Tampa HQ location.
What You Will Do:
Coke Florida is seeking to ad a key member to its legal team by employing a dynamic Legal Assistant to support the Coke Florida legal team.
Responsibilities of the Legal Assistant will include the following, with the assistance and oversight of counsel as necessary:
  • Utilizing internal tools, prepare contracts and other documents for signatures from officers of the company and circulating final, signed contracts to the relevant parties, as necessary.
  • Reviewing and revising filed with local governmental entities (e.g., notices of commencement, letters of authorization, other permit applications, etc.)
  • Maintaining physical and electronic filing for all legal matters.
  • Performing as Notary Public, or otherwise become certified to be a Notary Public.
  • Assisting with other projects, as assigned.
  • Assisting in the management of Coke Florida’s litigation holds (drafting, issuance, and post-issuance compliance management).
  • Monitoring Legal inboxes (e.g., Legal Invoices, Legal Documents, Office of the General Counsel); responding or forwarding to the appropriate attorney or other departments.
  • Responding to cross-functional team members with requests for contracts.
  • Submitting and overseeing the payment of approved invoices from various vendors including outside counsel.
  • Assisting in the management and responses to discovery requests and third-party subpoenas (receiving the subpoena, communicating with issuing law firms, gathering the documents, preparing responsive letters, preparing the production, and sending responses, etc.).
  • Compiling and tracking data, including data on Coke Florida contracts, in Excel or similar formats.
  • Performing other typical administrative duties such as shredding, copying, scanning, managing incoming and outgoing mail, managing expense reimbursements, new associate/intern access, etc.
  • Assisting in the creation/update of presentations, NDAs, contracts, and templates.
  • Preparing and responding to correspondence under the supervision of counsel.
  • Managing calendars of multiple legal team members.
  • Coordinating and scheduling on-site and off-site meetings and travel arrangements for the legal team.
For this role, you will need:
  • Solid business acumen and informed on current events in the business world
  • Excellent time management and organizational skills.
  • Must be technology savvy and highly proficient with Microsoft Outlook, Word, Excel and PowerPoint
  • Professional demeanor with the ability to interact and collaborate effectively with employees at all levels.
  • Initiative-taking and resourceful with the ability to work independently.
  • Close attention to detail and excellent proofreading skills.
  • Notary Public (or willing to become one) – at company’s expense required.
  • Ability to manage confidential and sensitive issues with maturity and professionalism and maintain strict confidence.
  • Experience with both transactional and litigation practices preferred.
  • Associate degree or higher. Paralegal certificate is a plus.
  • Strong project management, process improvement and event planning skills
  • Highly proficient with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Must be available to travel as needed
  • Ability to work in a fast-paced environment with the ability to adjust priorities in response to unanticipated events.
  • Basic knowledge of legal transactional and litigation practices.
  • 5+ years of experience as a legal assistant/legal administrative assistant either in-house or at a law firm.
  • Prior experience as a legal assistant/legal administrative assistant supporting multiple attorneys.
