Schedule: 40+ hours per week

EdFarm | PROPEL Overview
EdFarm was launched in February 2020 in Birmingham, AL to create a suite of signature programs designed to engage students, educators and adult learners in innovative digital skills experiences that better prepare them for the 21st-century workforce. In February 2021, EdFarm, in partnership with Apple and Southern, announced plans to launch the Propel Center, a physical and virtual hub based in Atlanta, GA that will partner with Historically Black Colleges and Universities (HBCUs) to provide powerful learning experiences for HBCU students and staff and increase the pool of HBCU graduates entering and leading the innovation economy.

ABOUT THE POSITION
Reporting to Senior Vice President (SVP) of Innovation and Design, the Learning Innovation Specialist provides administrative support to the SVP and organizes student success and faculty engagement activities for the Propel Learn Virtual Campus ecosystem. The role also involves managing the SVP's calendar, coordinating travel arrangements, preparing meeting agendas and minutes, conducting research and maintaining confidential records, screening phone calls and emails, processing expense reports, and providing general administrative support. The learning innovating specialist will also liaise with other departments and external partners, act as a liaison between the SVP and staff, faculty, and students, and assist with special projects as assigned. The position requires discretion, attention to detail, and excellent communication skills. Responsibilities include, but are not limited to:
  • Manage the SVP's calendar and schedule appointments.
  • Provide general administrative support such as filing, copying, and faxing.
  • Act as a liaison between the SVP and staff, faculty, and students
  • Assist with special projects as assigned by the SVP.
  • Coordinate and manage special events, such as award ceremonies or fundraisers.
  • Maintain confidential records and files.
  • Coordinate meetings and conferences, including booking venues, catering, and audio-visual equipment.
  • Conduct research and gather information for projects and reports.
  • Manage budgets and resources for Propel Learn Virtual Campus.
  • Create and maintain a database of stakeholder contacts and engagement.
  • Perform other duties as assigned by the SVP.
  • Screen phone calls, emails, and other correspondence.
  • Process expense reports and reimbursements.
  • Draft and review correspondence, reports, and presentations for the SVP.
  • Coach learners on potential micro-credential pathways in Propel Learn’s Virtual Campus.
  • Arrange travel and accommodations for the SVP and other executives.
  • Coordinate Propel Learn Virtual Campus outreach via trainings and webinars.
  • Prepare and distribute meeting agendas and minutes.
  • Manage the SVP's contacts and address book.
  • Liaise with other departments and external partners.
  • Handle confidential information and sensitive issues with discretion.

Qualifications:
  • Excellent organizational, writing and communication skills, attention to detail, and being able to maintain confidentiality.
  • Experience coordinating special events digitally and in person.
  • A bachelor's degree in business administration, communication, or a related field is preferred, and prior experience in an administrative or learning innovating specialist role is a plus.
  • Experience coaching, mentoring, and working collaboratively with diverse groups of people.
  • Experience in creating efficient systems for office management tasks, such as ordering supplies and work devices and or ones by industry partners, which include but is not limited to: administrative digital file storage, organizing and quick retrieval and process expense reports and reimbursements, update and organize the SVP's contact lists.
  • Ability to conduct research, analysis for special projects and coordinate the execution of special projects from start to finish as directed by the SVP.
