Job Description
Purpose of the Position


The Learner Services Operations Coordinator provides administrative coordination and project management support for the enhancement and implementation of departmental and interdepartmental initiatives. The Learner Services Operations Coordinator works professionally and collaboratively with team members and other key stakeholders within the department in support of efficiency enhancements.


The Learner Services Operations Coordinator reports to the Manager, Learner Services Training.


UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus.

Key Responsibilities


Functional


  • Performs other duties as assigned.
  • Assist with completing project and department initiatives, individual tasks accurately and timely.
  • Assist with the coordination of departmental and interdepartmental project plans.
  • Attend meetings, take notes, control PPTs, and provide follow-up action items after meetings (when applicable).
  • Ability to liaise with other departments at the executive level to provide support with sponsored projects.
  • Assist with training admin task, account management and onboarding support to ensure training initiatives are achieved.
  • Perform quality assurance against any project tasks completed.
  • Collect management requirements and tasks and input into a centralized project plan.
  • Plan, coordinate and execute plans for department events and campaigns.
  • Keep all project plans up to date with current notes, status updates, and additional action items.
  • Close project, complete documentation necessary, and provide deliverables to department leadership.
  • Communicate project changes to key stakeholders.
  • Ensure that all projects are delivered on time and within scope.
  • Operationalize and maintain recurring departmental operations.


Support Institutional Initiatives


  • Engage in institutional sponsored activities and initiatives as appropriate.
  • Lead with courage in support of change initiatives that impact organization.
  • Manages and assists in coordinating efforts between departments within UMA.
  • Keep current on institutional goals, objectives, and progress.


Compliance


  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.

Minimum Requirements


  • Ability to learn rapidly and adapt to a dynamic business arena.

  • Experience with project and event management.
  • One year of experience working across various functional groups such as HR, IT, Sales, Finance, Marketing, etc.
  • Creative mindset with ability to identify new business opportunities and products.
  • Ability to multi-task and handle a high-pressure environment with timeline pressures. Committed to projects with strong follow-up skills.
  • Ability to professionally communicate in verbal and written English.
  • High energy, entrepreneurial self-starter who works well in a complex, fast-paced, demanding and constantly changing environment.
  • Strong communication skills; able to communicate both verbally and in writing and be comfortable communicating with managers, executives, and outside agencies.
  • Excellent interpersonal, influencing and presentation skills.
  • Four years of experience in operations and/or admin-related role.
  • Associate degree and/or equivalent experience.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other business tools such as Skype and Microsoft Teams, Project, and Visio.
  • Highly motivated and detail oriented with an outgoing and confident attitude.


Preferred Requirements


  • Bachelor’s or other advanced degree.
  • Project Management certifications.
  • High level of computer proficiency.


Working Environment


  • Office Environment – Must be able to work in the UMA office.
  • Flexibility to work evenings and weekends as needed.


Physical Demands


  • Requires occasional bending, stooping, and squatting.
  • Requires long periods of sitting at a desk working on a computer.
  • Requires occasional lifting of up to 10 lbs.
