What SBLL Seeks
SBLL is looking for a Receptionist/Administrative assistant to join our team! The individual will work directly with our Firm Administrator performing a variety of administrative support duties and will be responsible for handling the firm's calls. The ideal candidate for this position is organized, professional, responsible, capable of working with limited supervision and committed to helping us meet the firm's and clients' needs.
Responsibilities
  • Ensuring that conference rooms and shared spaces are tidy and equipment is set up as required for meetings.
  • Assisting the Firm Administrator with onboarding of new members, and other HR tasks on an ad-hoc basis.
  • Assisting with booking travel for conferences and other marketing events.
  • Recording all information provided by callers and forwarding to the intended recipients.
  • Handling incoming and outgoing correspondence according to established protocols and procedures.
  • Answering phones and inquiring into the purpose of calls using our Case Management Software to identify the appropriate firm members assigned to cases.
  • Assisting with the firm's marketing and social media initiatives i.e. management of the firm's Instagram and Linkedin accounts.
  • Assisting with office inventory and ordering/restocking supplies,
Qualifications/Requirements
  • At least one (1) year of experience working as a receptionist at a law firm
  • Bilingual (English & Spanish) preferred
  • Proficiency with Microsoft Word, Outlook, Teams, Excel
  • Excellent communication skills
  • Knowledge of general office practices
  • Able to work on own initiatives
  • High school diploma or GED
  • ⁠Effective oral and written communication
  • Experience with case management software (preferably Clio)
  • Excellent organization skills are essential
  • Experience with Social Media management (Instagram and Linkedin)
  • Flexibility and ability to manage change
  • High level of IT literacy
