Job Description

The IT Asset Coordinator is responsible for the inventory, and long-term strategic management of technology-related hardware and software within the organization. This includes planning, monitoring, and recording software license and/or hardware assets to ensure compliance across the enterprise. This individual will assist in the development of procurement strategies to optimize technology spend across the organization. This role will also develop and implement procedures for tracking assets and optimizing the cost, risk, and value throughout the asset’s lifecycle.


The incumbent must be detail-oriented, security conscious, and proficient in ITIL methodologies. The ability to manage multiple priorities in an extremely fast paced and nimble environment is important for this role. This individual must be able to work and communicate effectively in a distributed team environment and display strong interpersonal, verbal, and written communication skills.

The primary day to day focus in this role will be to provide oversight of the strategic processes and procedures that encompass the asset management practice. This individual will monitor the lifecycle of assets, develop and provide reporting, engage in thought leadership and provide recommendations to execute continuous improvement. This role will also collaborate extensively with the Manager of End User Services and other asset technology owners to ensure alignment across all functions within Information Technology department.

Job Responsibilities

Responsibilities include but are not limited to:

  • Work with PG&S teams on purchasing strategies.
  • Ensures adherence to the appropriate systems, policies, procedures and controls that are in place to support sound, legal practices in support of the strategic direction of the business.
  • Assist in inventory management, procurement, and shipment activities.
  • Ensure compliance with all company policies and procedures (EEO, Sexual Harassment, Sarbanes – Oxley, Safety, etc.)
  • Identify and report on breaches of ITAM policy and track remedial action.
  • Report on (or develop reporting on) remediation of technology asset-related risks and progress of optimization activity.
  • Develop the appropriate metrics and reporting to ensure the measurement and actions needed for continuous improvement.
  • Assist the End User Services team in developing effective ITAM strategies, policies, approaches, and practices across the full range of technology assets used within the organization.
  • Perform other duties which are deemed to be an integral part of the position, including but not limited to fulfillment of work schedules, adherence to attendance policies, and other applicable operating rules, policies and procedures.
  • Ensure accurate and timely reporting, and that data completeness and quality issues are quickly identified and escalated to the responsible data or process owners.
  • Engage in contract negotiations, contract renewals and vendor management activities if needed.
  • Ensure that appropriate resources (people, tools, services) and processes are in place to gather and analyze data relating to asset life cycles and related processes.
  • Ensure audit compliance for the IT assets if applicable.
  • Gather data on and provide analysis of all activities that have an impact on the value, cost, and risk of IT asset life cycles.
  • Collaborate with management to define cost savings, asset compliances and service improvements.
  • Monitor software licenses to ensure they comply with license agreements and usage standards.
  • Prepare and manage IT asset capital and expense budgets as needed.
  • Manage asset reconciliation and asset disposal agreements.
  • Educate Flowers employees regarding IT asset management policies.
  • Develop asset control processes to monitor accountability, identification, maintenance, location, and contracts.

Desired Experience

Minimum 5 years’ experience in IT support and technical services, including:

  • Vendor management or supplier negotiation training and experience a plus;
  • Hardware lifecycle management experience is a plus; and
  • Previous experience with ServiceNow platform as a service management software preferred.
  • Budget management experience is a plus;

Desired Education

Bachelor’s Degree in IT-related discipline or equivalent on-the-job experience;
ServiceNow Asset Management Fundamentals Certifications
ITIL Certification
