Job Description

This is a contractor entry level position which will be hybrid out of Dulles, VA.


An Entry-Level Program Management Support professional plays a critical role in assisting program managers and teams in successfully planning, executing, and monitoring various projects within an organization. This role is ideal for individuals who are organized, detail-oriented, and have a strong interest in project management. The specialist will work closely with program managers and team members to ensure the smooth operation of projects and the achievement of organizational goals.


Key Responsibilities:

  1. Administrative Support: Provide administrative assistance to program managers, including scheduling meetings, preparing agendas, taking meeting minutes, and maintaining project documentation.
  2. Data Management: Assist in maintaining and updating project-related data, including project plans, timelines, budgets, and resource allocation. Ensure accuracy and completeness of project information.
  3. Communication: Help facilitate effective communication among project stakeholders by relaying information, managing emails, and responding to inquiries promptly.
  4. Documentation: Assist in the creation and maintenance of project documentation, including project charters, status reports, and presentations. Ensure that all documentation is properly organized and easily accessible.
  5. Task Tracking: Monitor and track project tasks and milestones, ensuring that deadlines are met and potential issues are identified early. Update project management tools and systems as needed.
  6. Risk and Issue Management: Support the identification, assessment, and documentation of project risks and issues. Assist in implementing mitigation strategies and solutions.
  7. Coordination: Collaborate with cross-functional teams and departments to ensure alignment and coordination of project activities. Facilitate communication and information sharing among team members.
  8. Quality Assurance: Assist in ensuring the quality of project deliverables by participating in reviews and quality control processes.
  9. Reporting: Help prepare regular project status reports and updates for program managers and stakeholders. Contribute to presentations and materials for project reviews and meetings.


Qualifications:

  • Detail-oriented with a focus on accuracy and quality.
  • Basic understanding of project management concepts is advantageous.
  • Bachelor's degree
  • Proficiency in using productivity software such as Microsoft Office (Word, Excel, PowerPoint) and project management tools.
  • Eagerness to learn and grow within the field of program management.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work well in a team environment and collaborate effectively with diverse groups.
