HR Assistant/Recruiter


Reports To: HR Manager


Status: Full-Time


Pay rate: $42,000 - $45,000 annually

Job Summary


As a Human Resources Assistant/Recruiter you will work closely with our applicants and HR Coordinator to support the growth of our fast-paced organization. This role is an integral partner for maintaining the data integrity of our Applicant Tracking System (ATS), the daily operations of our interview schedules and calendar, support the onboarding process and organization/orchestrating our intern/learner program. Your role will be critical in communicating and organizing all our intern/learner and staff applicants, supporting our recruiting operations, and helping guide candidates through the recruiting process. This job begins when the position is created and opened continues through the applicants’ responses to job posts, and ends posts and position is filled. This position will also help in maintaining employee file integrity for all new/current employees.


Essential Functions/Duties


  • Perform other duties as assigned.
  • Other clerical and/or administrative duties and special projects may be assigned.
  • Provide clerical and data entry back up to HR such as scanning and filing.
  • Collect information from applicants such as identification (proof of employment), certifications and other needed information.
  • Assist in the communication/scheduling/orientation of new employees/interns/learners, including the related clerical aspects of employment, such as completing new hire paperwork, collecting I-9 documentation, the employee's/interns/learners starting date and the requisition the employee is filling, etc.
  • Responsible for coordination of recruitment efforts with HR Coordinator and HR Manager.
  • Responsible for reviewing the information provided on a prospective employee's/interns/learner’s application to determine the suitability of the applicant for employment/position, if needed.
  • Will act as a liaison for the pre-employment and new hire processes with our backgrounds vendors as needed.
  • Responsible for maintaining digital/physical employee files.
  • May be responsible for attending local recruiting events, career fairs, school visits.
  • Responsible for the recruitment/coordination efforts including posting employment requisitions, assisting with managing the schedule for our interns/learners and communicating with our Program Managers on the progress of each candidate.


Qualifications


  • Experience working with teams located in multiple sites, and different departments.
  • A basic understanding of the Company's organizational structure as well as an extensive knowledge of personnel policy and procedure and federal and state laws regarding employment practices
  • A minimum of three years’ experience in recruitment/selection, affirmative action plan administration, general HR duties. Applicant is expected to have knowledge of commonly used concepts, practices and policies within the HR field.
  • Familiarity with an HRIS system, ideally Paychex, (preferred but not required).
  • Experience with ATS applications, ideally JazzHR or similar a plus but not a requirement.
  • Knowledge of business office operations, of filing and administrative clerical operations.
  • Ability to communicate effectively both orally and in writing with employees and the public, to maintain confidentiality in daily operations, to conduct daily duties in a professional appearance and manner.
  • High school diploma or GED
  • Heavy scheduling within Outlook shared calendars.


WORKING CONDITIONS


  • This position generally works in an indoor office environment with infrequent travel between sites or to special events.
  • This position requires the use of various technology tools and software programs
