Job Description
Basic Job Function: Focus on initiating contact with group planners to encourage and promote the sales of recreational activities. Serve as the leader for all group activities. Uphold and ensure compliance with all company and departmental policies and procedures.Use of Company Vehicle: Not designated to drive a company vehicle Minimum Requirements: Excellent Communication skills, both written and verbalProficient in Windows XP and Microsoft Office software applications such as: Word, Excel, and OutlookProficient with peripherals, copier, fax, telephone, and calculatorConsistently aspires to fulfill our core Company values (Respect, Integrity, Passion, Teamwork, Accountability, Caring, Loyalty & Trust)Exhibits the Sea Island Five-Star Behavior Standards with guests, members and co-workersMust possess a positive attitude and have the ability to work with a variety of people and in cooperation with coworkers efficiently and effectivelyMust be detail oriented and able to manage competing priorities and multiple deadlines in a fast paced environmentAbility to easily adapt to organizational and environmental changesMust be flexible to working days, early mornings, evenings, weekends, and holidays as neededReport to work at the scheduled time, neatly groomed and in compliance with company Dress Code Policy Tasks/Responsibilities:Maintain proper housekeeping in office areaAssist scheduling group activities, including but not limited to fishing, golf, shooting school, water sports, horseback riding, etc.Assist in selling merchandise and customer serviceLearn the names and personally recognize our regular Guests and MembersAssist in forecasting revenueProvide informative sales presentations to meeting and site plannersKeep an accurate account of upcoming and past Sales Department site and planning visits involving recreation and provide diligent follow-upBe available during busy periods to greet guests and explain servicesAct as a liaison between the Planner and all staff-related positions within the company to provide program informationEnsure the appropriate materials are available for Planners, i.e. gifts, brochures, etc.Follow through with all conference/sales group booking and billing instructions for group activities and contact each department in a timely mannerMaintain detailed and thorough files on each group in a functional filing system that allows any team member easy access to booking and billing informationMaintain month by month calendar of upcoming groups and eventsBe available for meeting planners upon their arrival at Sea IslandSchedule days off on/around group arrivals
  • Work cooperatively with all Managers in Sales and Catering/Conference ServicesAttend pre-con meetings and resume meetings to ensure thorough follow through with group businessFollow through with all conference/sales group bookings within 24 hours upon receipt of requestsServe as a liaison for Recreation and Conference Service/Sales for scheduling recreation appointmentsCultivate positive relationships with group leaders and internal contacts.Be available for site inspections, trips and other meetings as requested with plannersMaintain a thorough knowledge of current guest services, activities, dining options, shops, local attractions, and historical information regarding Sea Island and the surrounding area to answer any questions guests may have to the best of one’s abilityIf applicable, complete a Guest Problem Resolutions (GPR) form on any issues (solved or unsolved issues) and follow-up on issues as neededUphold appropriate departmental standards of quality/timingUphold and ensure compliance with all company and departmental policies and proceduresReport all equipment problems and maintenance issues, known safety hazards, or unsafe practices and procedures to supervisor immediatelyAttend all scheduled employee meetings and bring suggestions for improvementWilling and timely execution of other duties as delegated by leadership Physical Requirements: Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull and walk for prolonged periodsAbility to effectively operate basic computer systemsAbility to work simple math calculationsMust have the ability to work for extended time periods in an outdoor environment, including sun, heat, cold, wind, rain, and higher than normal noise levelsAbility to lift, carry, pull and push up to 30 lbs repeatedly throughout a shiftAbility to read, write and communicate effectively in English, both written and verbalMay be exposed to mechanical, electrical, chemical and fume hazardsMaintain compliance with Company Resort Professional Image Policy
