The UW Graduate School - Neuroscience Program has an outstanding opportunity for a Graduate Program Advisor.

The Graduate Program Advisor is the main point of contact for student services and student activities throughout the entire graduate student lifecycle within the Graduate Program in Neuroscience, an interdisciplinary degree housed in the UW Graduate School. Applying a diversity, equity, and inclusion (DEI) lens to all activities, this position manages the recruitment, admission, retention, and advising of 50-75 students in the GPN. This position plays a critical role in ensuring that the GPN program runs smoothly and that students have the best possible educational experience. The GPA cultivates a strong mentorship relationship with the students, working to ensure success in the program. The position offers an excellent opportunity to work with a diverse range of people and make a positive impact on the lives of students and the broader community. Additional responsibilities include program operations, alumni relations, student career-development, and building partner relationships.
The Graduate Program in Neuroscience is an Interdisciplinary Ph.D. program that partners with more than 20 departments and 170 faculty members at the UW and with biomedical facilities across Seattle to train students in all areas of modern Neuroscience. As a result, the position requires the ability to navigate complex challenges that arise when working with different units and organizations that have varying policies, procedures, and practices. The program is comprised of a small team, allowing for growth, and learning opportunities across all aspects of a graduate program. A supportive leadership team encourages new ideas and provides flexibility to innovate.

DUTIES AND RESPONSIBILITIES
Academic Advising (40%):
  • Plan, develop, and manage events including student symposium, student orientation, admitted student visits, quarterly rotation talks for first-year students, and annual retreat.
  • Strength in independent problem-solving while maintaining student confidentiality. DESIRED QUALIFICATIONS
  • Extend program resources with graduates to aid them with job search strategies, identifying career options, and filling skill gaps.
  • Manage outreach events including open houses, graduate fairs, and underrepresented minority (URM) community conferences and in-person information sessions and campus visits.
  • Ability to initiate, develop and evaluate processes and procedures.
  • Develop and lead annual mentor training for faculty advisors and students.
  • Coordinate weekly seminars and provide event support.
  • Facilitate responses to requests for data, program information, or new projects.
  • Advise students through the lifecycle of graduate student experience, from recruitment through enrollment and graduation and orienting new students to program regularly monitoring and tracking student progress. Interpret UW, GS, and GPN policies and requirements to directors, faculty, and students.
  • Develop, maintain, and improve career development opportunities for first year students using the Monday Lunch series.Other duties as assigned to support the mission, goals, and strategic plan of the GPN, the GS, and the UW. MINIMUM REQUIREMENTS
  • Experience with UW systems such as MyGrad, MyPlan, DARs, Canvas, etc. CONDITIONS OF EMPLOYMENTS
  • Proficiency with Microsoft Office Suite.
  • Host regular office hours to discuss students’ needs from the program and advise faculty advisors on disciplinary process, range of options, and appropriate steps.
  • Facilitate and lead implicit bias training for Admissions Committee.
  • Plan recruitment visits and host new student orientation activities and events, serve as point contact answering questions about the program, career opportunities, or the admissions process. Connect applicants with faculty, monitor status of decisions, and encourage acceptance of offers; support recruitment efforts through follow up phone calls and emails.
  • Work on special projects as assigned, autonomously crafting, and executing work plans while keeping in communication with program leadership. Recruitment and Admissions (20%):
  • Exhibit strong organization and planning skills with the ability to establish priorities and organize multi-level tasks and demonstrated ability to manage highly detailed projects.
  • Communicate with leadership about cohort morale, student needs, and feedback on curriculum.
  • The ability and availability to travel across the state, the nation, and internationally for recruitment fairs (2-3 days each, 4 times a year).
  • Advise student groups outlining academic deficiencies, academic expectations, and courses of action. Update faculty advisors on disciplinary process, range of options, and appropriate steps. Academic Program Operations (35%):
  • Excellent interpersonal and communication skills, and a proven ability to work with multiple constituencies and people of diverse backgrounds.
  • Occasional logistic support for events in early morning or evening
  • Flexibility and extra hours (including some evenings and weekends) may be required for events and to meet critical deadlines.
  • Support the program committees by arranging meetings, taking minutes, and keeping records.
  • Must be able to lift a minimum of 20 pounds.   • Identify emerging issues and concerns that need scrutiny, discussion, or action and escalate to the Program Directors, Steering Committee and Administrator.
  • Develop, manage, and process all course evaluations for Neuroscience core courses and annual evaluation of students with the Graduate Training Committee.
  • Bachelor's Degree in Education or related field.
  • Update and maintain program website and handbooks and elective list, including management of the quarterly Time Schedule.
  • Facilitate processing of applications, coordination of interviews, and decisions for admission cycle, ensuring adherence to university policies.
  • Provide individual counseling to students having academic or personal problems and refer to appropriate or University services for help.
  • Conduct annual survey of alumni and update job placement statistics and career advancement anecdotes; gather and process reports of metrics.
  • Provide support for curriculum development and teaching activities, accreditation requirements and program reviews.
  • At least four years of work experience in academic advising or working in Student Affairs or Student Services in an educational setting. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
  • Advise the GS, International Student Services, Office of Student Financial Aid, Admissions and DEI committees, and others on diversity issues in recruitment and retention to ensure accurate handling of questions and applications. Alumni Relations and Employer Connections (5%):
  • Typically, a 40 hour per week position. Schedule is hybrid eligible with up to 3 days remote per week.
  • Provide individual counseling to students having academic or personal problems and refer to appropriate faculty or University services for help.
