Job Description
As a Front Office Assistant, you will be the first point of contact for our company, providing a warm and welcoming atmosphere to visitors, clients, and employees. You will play a crucial role in maintaining the smooth operation of the front desk while delivering excellent customer service and administrative support. Your exceptional communication and organizational skills will ensure the efficient functioning of our office and leave a positive impression on all who interact with you.


Responsibilities


  • Handling Mail and Deliveries: Receive and distribute incoming mail, packages, and deliveries promptly. Ensure proper documentation and tracking of incoming and outgoing items.
  • Problem Solving: Address and resolve front desk-related issues or conflicts effectively and professionally. Escalate complex matters to appropriate personnel when required.
  • Maintaining Office Appearance: Ensure the front office area is tidy, organized, and visually appealing at all times.
  • Scheduling and Appointments: Manage the appointment calendar efficiently, scheduling meetings and appointments for clients and employees. Coordinate meeting room bookings and notify relevant parties about upcoming engagements.
  • Greeting and Welcoming: Welcome visitors, clients, and employees in a friendly and professional manner. Provide them with necessary information, direct them to the appropriate departments, and ensure they have a pleasant experience.
  • Answering Inquiries: Respond to phone calls, emails, and in-person queries promptly and professionally. Provide accurate information or route calls to the appropriate personnel when necessary.
  • Administrative Support: Assist with various administrative tasks, including data entry, filing, photocopying, and managing office supplies to maintain a well-organized front desk area.


Requirements


  • Education: High school diploma or equivalent. Additional certifications in office administration or customer service will be a plus.
  • Computer Skills: Proficiency in using office software, including Microsoft Office Suite and email applications.
  • Customer Service: Strong customer service orientation with a keen ability to create a positive and welcoming environment for visitors.
  • Professionalism: Maintain a professional appearance, demeanor, and conduct at all times.
  • Communication Skills: Excellent verbal and written communication skills. Ability to interact with individuals at all levels courteously and professionally.
  • Organization and Multitasking: Exceptional organizational skills with the ability to manage multiple tasks efficiently and prioritize responsibilities effectively.
