THE ROLE:
We are seeking a Floating Executive Assistant/Host to be the point of contact for any external talent or partner meetings occurring day-to-day and provide additional support to other Hartbeat Executive Assistants and Office Manager. The ideal candidate will be a highly motivated self-starter with a strong interest in business and entertainment with excellent organizational, communication and interpersonal skills. Must have the ability to multi-task and possess strong time management skills.
RESPONSIBILITIES:
  • Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and team members, while representing the company professionally.
  • Plan and organize travel itineraries, including transportation, accommodation ensuring efficient and smooth travel experiences for executives.
  • Provide high-level administrative assistance to multiple executives, including calendar management, scheduling meetings, coordinating travel arrangements, and handling expense reports.
  • Provide excellent customer service by answering inquiries, offering recommendations, and addressing any concerns or complaints in a professional and timely manner.
  • Support office operations (coordinating office supplies, assisting with the coordination of events and team activities, etc.) by collaborating with the Office Manager and other administrative staff.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Screen and prioritize incoming calls, emails, and other correspondence, ensuring efficient and timely responses.
  • Communicate relevant information to the vendors such as special requests, allergies, or VIP guests, to ensure a seamless experience.
  • Welcome guests with a warm smile, escort them to offices and provide refreshments.
  • Schedule and prepare materials for executive meetings, including document distribution, and assist with coordinating logistics for both on-site and virtual meetings.
EXPERIENCE & SKILLS:
  • Minimum of 3 years employment experience.
  • Ability to thrive in a fast-paced work environment.
  • Strong written and verbal communication, organizational, interpersonal, and analytical skills.
  • Strong proficiency in MS Office required (Excel, PowerPoint, and word), and Zoom technology.
  • Experience interfacing with high profile partners, clients, and talent.
  • Detail-oriented, good follow through, ability to multitask.
  • College degree required, preferably in Business, Marketing, Communications, or related field.
