Job Description
The Department of Radiology is seeking a Fellowship Program Coordinator (Residency/Fellowship Program Coordinator 2) to provide administrative and operational support to three sub-specialty fellowships in their Central Office for Education.
Working under the Department of Radiology's Education Program Manager, the Fellowship Coordinator will manage, administer, and support the operation of the Musculoskeletal Imaging, Cardiovascular Imaging and Cardiothoracic fellowship programs. They will maintain program activities, prioritize program-related tasks, and ensure that important deadlines are communicated and met.
The Fellowship Program Coordinator will coordinate the programs, including organizing the recruitment, evaluation and selection of new fellows; coordinate clinical fellowship training programs; provide administrative assistance to the Fellowships Program Directors and the Education Program Manager; serve as liaison between the Hospital Graduate Medical Education (GME) Office and the Radiology Department (Program Directors, Radiology staff, Radiology Residents, Radiology Fellows); act as an educational coordinator between attending physicians, residents, fellows and institutional and regulatory administrative offices including the Accreditation council for graduate medical education (ACGME) and the American board of Radiology (ABR). The PC will also provide administrative and operational support to the Radiology Central Office of Education.
The appropriate candidate will demonstrate initiative, resourcefulness, and problem-solving skills. They will establish procedures, systems, and ensure timely execution.
Duties Include
  • Act as key contact for the program to interpret and apply complex policies, procedures and program guidelines (such as those from ACGME – Accreditation Council for Graduate Medical Education). Review exceptions to policies to determine if exceptions are allowable. Identify, troubleshoot and report compliance issues and assist in correcting situations.
  • Manage the clinical fellowship and faculty evaluation process by establishing and executing project plans, timelines, and objectives. Present analysis of programs and evaluations.
  • Ensure compliance with accreditation, licensing board, professional association, ACGME requirements, GME Office requirements for the residency curriculum, goals and objectives for each level of training. Ensure trainees are credentialed before starting any rotation.
  • Independently implement, administer and evaluate day-to-day activities of the clinical fellowship programs by identifying and executing responsibilities, making recommendations that impact policies, programs and standards, and ensuring compliance and follow-up, as needed.

  • Act as a liaison and advocate in support of residents and hospital administration. Establish relationships and act as a liaison to other hospitals, internal departments, and divisions regarding resident recruitment, orientation, annual program affiliation agreements, and external rotations. Manage the goals and objectives for fellows’ rotations through other clinics; recommend actions to be taken if goals are not being met.
  • Develop, distribute, maintain and analyze the fellowship rotation, vacation and leave schedules based on accreditation requirements with oversight of Program Director.
  • May assist with budget activities for various fellowship activities, including monitoring expenses.
  • Plan annual events, organize meetings, and assist in the preparation for ACGME Site Visits and internal reviews. Develop brochures, invitations, or advertisements for events/lectures.
  • Participate in ranking meetings and provide feedback on strengths/suitability of applicants. Communicate requirements to newly matched trainees. Administer appointments to the hospitals/university.
  • Initiate and manage the annual recruitment, onboarding and offboarding processes, including coordinating all interviews and collecting feedback on applicants. Summarize ratings and provide recommendations to program director and selection committee.
Desired Qualifications
  • Familiarity with Stanford University enterprise software (Oracle, etc).
  • Familiarity with medical scheduling software such as Smartpage, QGenda or equivalent.
  • Familiarity with hospital enterprise residency management software tool Medhub
Education & Experience (required)
Bachelor’s degree and two years of relevant experience, or combination of education and relevant experience.
Knowledge, Skills And Abilities (required)
  • Demonstrated ability to work well independently and take initiative while problem solving and resolving challenges.
  • Ability to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines.
  • Demonstrated good judgment in all areas of responsibility.
  • Excellent customer service skills and ability to adapt to changing work environment.
  • Agile and quick learner who can adapt easily to Stanford specific software and clinically related software.
  • Proficient with Excel, Word and other applications required.
  • Excellent organizational and analytical abilities, ability to handle diverse workload.
  • Excellent oral and written communication skills. Ability to work with all levels of faculty and staff, and exhibit significant degree of diplomacy.
  • Ability to work independently and to coordinate multiple assignments with fluctuating priorities.

This remote role is open to candidates anywhere in the United States. Stanford University has five Regional Pay Structures. The compensation for this position will be based on the location of the successful candidate. The expected pay range for this position is $60,000 to $107,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and
external market pay for comparable jobs.
