Job Description

Basic Description:

The Facilities Coordinator will work closely with the Facilities Management Team to support all Flat Branch Mortgage, Inc. Offices and Operations Centers.


Responsibilities: (including, yet not limited to)

  • Assure vendors and contractors are in Compliance to Company Standards.
  • Update Branches annually with new required postings of HR and DOLIR.
  • Coordinate move if applicable
  • Approves and manages supply orders, up to $500.
  • Track Facilities Request (work orders) from inception to finish.
  • Work with Accounting on invoice issues


Licensing/ Insurance:

  • Maintain Certificate of Insurance of Contractors and Vendors
  • Maintain Compliance of Facilities to Maintain good standings with Authority having Jurisdictions


Maintenance:

  • Contact appropriate Contractor for repairs needed at Offices, HVAC, electrical, plumbing, etc.
  • Ensure work is done in a timely manner
  • Work with landlords on maintenance agreements


Operations:

  • Cleaners
  • Pest control
  • Managing copying of keys
  • Shred
  • Postage
  • Coffee
  • Drinking water
  • Coordinate with vendors:
    • Cleaners
    • Shred
    • Drinking water
    • Coffee
    • Pest control
    • Postage
  • Log parking passes

Qualifications and Skills:

  • Valid Driver's License and insurance coverage, required
  • Experience working with vendors and contractors
  • Attention to detail and organizational skills, must be able to juggle tasks and deadlines
  • Spread company culture to each location
  • Limited travel
  • Negotiation abilities of cost effective strategies
  • Understanding and ability to operate Microsoft Office Software, i.e. excel, word, etc.
