Job Description
The Facility Services Maintenance Coordinator is the principal assistant to the Director of Facility Services. The Facility Services Maintenance Coordinator is responsible for the coordination of all preventive and corrective work orders in support of the physical plant, utility system components and the Medical Equipment Program.


The Facility Services Maintenance Coordinator reports directly to the Director of Facility Services.


  • Keeps track of Facility Services expended supplies and enters supplies expended during preventive or corrective maintenance on appropriate work orders in the computer. Prepares draft of monthly variance report for department head review. Assists the Maintenance Supervisor and Purchasing Department in the ordering of medical and utility system parts and services and serves as the first contact for repair services hospital wide.
  • Responsible for managing medical equipment inventory process as required by and in accordance with JCAHO directives by insuring tagging and inspection by appropriate technician of all medical equipment used in the hospital. Keeps a record (including safety documentation) of all medical equipment temporarily being used in the hospital (equipment on loan, rental, or brought in by a M.D.).
  • Performs word processing, filing and other administrative duties for Facility Services Department, and keeps all copies of Environment of Care Manual up to date. Produces reports and equipment histories when needed. Collects, prepares and submits periodic regulatory compliance documentation to engineering firm for completion. Submits completed documentation to required federal, state and local agencies. Plans and advises on scalability, maintenance and availability of CMMS. Tailors all applications to meet the reporting requirements of internal and external users.
  • Keeps the WinScore program up to date, (including entry and deletion of equipment, timely entry of all data collected, and changes to the program as needed). This is a key function of the position and should be considered the primary responsibility. WinScore is the Computerized Maintenance Management System used to track maintenance of all medical equipment and selected components of the utilities system. Prepares and distributes (to in-house and contract technicians) all preventive work orders. Tracks completion of these work orders and reports weekly on incomplete work orders. JCAHO requires a minimum of 95% completion on medical equipment.
  • Receives trouble reports on medical equipment and components of the utilities system, and coordinates corrective service, replacement and loaner services. A knowledge of all maintenance contracts and agreements is required, as well as a good rapport with service technicians. Documents in the WinScore program all actions taken and materials expended. Keeps appropriate departments informed on status of repairs.


Education


Bachelor’s degree or equivalent school certificate in IT/IS. One year database administration highly preferred. Knowledge of medical or mechanical equipment a plus. Knowledge of maintenance systems or supply systems a plus. Knowledge of regulatory compliance procedures desired. Formal training in computer aided drafting desired.


Work Experience


Three to five years IS experience highly desired.
