Job Description
This position supports the Federation’s mission and vision by demonstrating a commitment to exemplary member service, as well as a collaborative spirit, equality, fairness, respect, and accountability.

JOB SUMMARY:

This position is responsible for assisting in Facilities department administrative, maintenance and work order support. Will also aid the achievement of organizational objectives.

Duties and Responsibilities:

• Ensure that Facilities departments are kept aware of department activities, including being copied on correspondence, and updated on interactions.
• Assist in the coordination of facility contractors and follow up on work order completion.
• Primary coordinator of the warehouse, packages/deliveries to warehouse/loading dock in conjunction with other departments.
• Assist in the maintenance of facilities work orders which may include but not limited to:
o Assessing and diagnosing facilities issues in a timely manner.
o Following up with appropriate solution or with appropriate contractors timely.
o Maintenance of indoor and outdoor office/ warehouse equipment.
o General facilities upkeep
• Facilities department program administration which may include but not limited to:
o Communication with outside vendors and contractors
o Operating and timely updating online facilities work order dashboard.
o Scanning & filing
o Mail
o Customer service & liaison to other departments
o Coordination of event planning & organizing for facilities usage
• Assist in the coordination of Facilities and public affairs actions, such as events coordination, all staff meetings, etc.
• Assist as back up to mail pick up and delivery.
• Assist as back up in front lobby check in and receptionist support.
• Assist as back up to daily office mail.

• All facilities activities are in alignment with and support the strategic objectives of the Federation.
• Support is provided to employees at all levels which bolsters positive employee relations.
• Effective in administration support to the Facilities department.
• Exceptional member service is provided, and member relationships are enhanced.
• Communication with members and staff is effective and professional.
• Relationships with Directors and other staff are productive and promote a positive team environment.
• Assistance is provided to other department members when needed.

Required, Knowledge, Skills & Abilities:

• Requires the ability to interact effectively with people at all levels of the organization and the demonstration of informal leadership ability.
• Proficient in the use of Microsoft Office, Excel, PowerPoint and the use of HRIS systems.
• Must display a positive attitude and work with an energetic mindset and willingness to be helpful.
• Excellent verbal and written communication skills.
• Excellent interpersonal and customer service skills.
• Excellent organizational skills and attention to detail.
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to diagnose, fix facilities issues or defer to appropriate contracted professional.
• Ability to function well in a high-paced and at times stressful environment.
• Proficient with Microsoft Office Suite or related software.

Education and Experience:

• High School diploma or equivalent preferred.
• Driver’s license required.
• Some college preferred.
• Experience in facilities operations/coordination and upkeep is preferred.

Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer.
• Ability to drive the company vehicle for mail pick up, delivery and to assist in transportation of staff and resources when necessary.
• Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything over 25 pounds requires a two person lift)
