The Executive Assistant to the CEO, under limited direction, provides a prominent level of diversified administrative support for regional CEO and 1-2 additional senior executives.

Responsibilities

  • Meeting coordination, travel coordination, finance (invoices and expenses), and general administrative duties.
  • This position also performs administrative work on behalf of the executives, including composing/proofreading a wide variety of correspondence, reports, and materials, and performing duties specific to the executive's functional area (Board preparation, policy work, event coordination)
  • Serves in a liaison capacity between the executives and internal and external contacts and expected to establish and maintain cooperative working relationships with those contacts.
  • Proactively informs the Executives and/or others as needed of any potential problems and makes sound recommendations for potential solutions.
  • Builds and maintains effective collaborative and professional relationships with all internal and external stakeholders.
  • Maintains complex calendars for executives. Schedules and coordinates meetings for the executives as assigned. Using sound and appropriate discretion, sets up, shifts, or declines meetings on behalf of the executives.
  • Manages all aspects of meetings including but not limited to; send invitations to participants in a timely manner, securing appropriate meeting space, ensuring needed AV equipment is set up and ready to use, distributing agendas/documents in advance, ordering food and beverages as needed, and monitoring RSVPs and keeping executives apprised of any potential scheduling conflicts which may necessitate rescheduling.
  • Gathers information and data for presentations and projects, consistent with established deadlines and identifies tasks and timelines. Manages revisions as appropriate to meet changing needs and requirements.
  • Drafts, edits, proofreads and/or formats correspondence, meeting minutes, presentations and/or other documents as needed, ensuring work products are accurate, free from grammatical errors and presented in a clear, well organized, and professional manner.
  • Retrieves and/or compiles documents, reports and/or other information for executives upon request and/or on or before due dates.
  • Informs the executives of any unresolved scheduling conflicts and/or any unexpected scheduling changes.
  • Respects and maintains the confidentiality of the work of the executives.
  • Prepare, assemble, and upload meeting material for the applicable Board Meetings, Home Office meetings and Market Meetings.
  • Serves as an administrative liaison to DMC board of trustees and committees and is responsible for administrative aspects of DMC Board of Directors activities including planning meetings and coordinating Board activities.
  • Attend Board Committee meetings for the purpose of recording minutes and to provide administrative support throughout the meeting.
  • Compose and transcribe minutes in a timely and accurate manner for review by the executives.
  • Effectively prioritizes tasks.
  • Projects an image of professionalism
  • Other duties as needed and assigned by executives.

Qualifications:


Minimum Qualifications

  • Must be extremely proficient in Microsoft Word, Excel, PowerPoint, Teams, and Outlook. Experience with Publisher and Visio preferred.
  • 5+ years of experience as an Executive Assistant providing support to C-Level executives.
  • Proven ability to manage confidential matters with discretion.
  • A successful candidate must be an initiative-taker and able to work independently with little or no direction.

Skills Required

1. Analytical ability to research, gather, review and disseminate information for executive review and to understand and relay information regarding substantive business/clinical issues related to executive’s area of responsibility.

2. Considerable independent judgment, poise and tact in screening calls, making appointments, establishing and organizing meetings and communicating confidential and sensitive matters on varied organizational topics.

3. Excellent written and verbal communication skills and the discretion to interact with internal and external executive management regarding confidential and sensitive matters on varied organizational topics.

4. Comprehensive organizational, administrative and secretarial skills and substantive knowledge of organization polices, practices, office coordination and procedural controls.

5. Ability to react quickly and confidently to changing priorities and stressful emergency or conflict situations.

6. Comprehensive knowledge of personal computers and software applications to gather and analyze data and prepare complex and detailed administrative reports.
