Job Description
  • MINIMUM / ESSENTIAL QUALIFICATIONS:
  • Ability to work evenings and adjust hours as needed to accommodate events (e.g. working 10:30am-7:00pm to cover after-class info session)
  • Events require ability to spend 10+ hours engaging in physical activity, including lifting and moving boxes and items (up to approx. 45 pounds) from storage to venue; setting up registration tables, displays and signage; setting and decorating tables; greeting and assisting guests at registration; disassembling and packing event materials
  • BA/BS or a combination of related education and work experience to equal at least four years
  • PREFERRED QUALIFICATIONS / SELECTION CRITERIA:
  • Basic Microsoft Office knowledge (including Word, Excel and PowerPoint)
  • Bachelor's degree
  • Experience with CRM database.
  • Excellent communication (both written and oral) skills
  • Previous experience with designing/creating marketing collateral
  • Experience in a fast paced, service-oriented, teamwork-driven environment
  • Advanced project coordination/collaboration skills
  • Previous customer service experience
  • Excellent organizational skills

OVERVIEW:
The Event and Marketing Associate plays a critical role within the Carlson School career centers by independently managing events and logistics impacting the success of the office’s goal to support every Carlson School student at every stage of their career development. This position sits within the Carlson Business Career Center office, works primarily with our Business Development/Employer Relations team, but supports and collaborates with team members from both the graduate and undergraduate career service teams. The primary responsibility of this role is managing the logistics and operations across all Carlson School programs’ recruiting efforts including on-campus recruiting, career fairs, networking events, other company events, and career center workshops. Along with serving as a liaison for office communications efforts.

This is a hybrid position meaning some days working in the office will be required and some days will be working remotely.

The annual salary for this position is $50,000 to $53,000 depending on qualifications.


JOB DESCRIPTION:
Event Management & Coordination (50%)

  • Coordinate logistics, including: catering, registration, marketing and promotion, staffing and volunteer needs, parking, check-in, etc. for large graduate-level recruiting events, including: Career Exploration Conferences, Corporate Receptions/Networking Events, Orientations, Workshops
  • Responsible for logistics of bi-annual Employer Advisory Council including room reservation, food ordering, gift and printing necessary materials.
  • Identify and recommend best practices, platforms, vendors, and resources to the career center team.
  • Provide event support for undergraduate student career development events, including: Career Week, BA2021, Resume Reviews with Recruiters.
  • Work with team to use student workers as needed for events.
  • Coordinate logistics for student national career treks & local site visits, including scheduling site visits with employers and alums, coordinating travel logistics, finalizing schedules, communicate pertinent information with hosts, posting opportunities in Handshake, and distributing and analyzing feedback and surveys.
  • Successfully and effectively develop career events & meetings. Create event budgets, identify and confirm vendors, manage contracts, develop communication plans, and provide a strong customer service experience to participants.
  • Lead the Career Fair Planning Committee for two large and complex Undergraduate Career and Internship Fairs per academic year, attended by 200 employers and 1,500 students annually.

Marketing and Communications (30%)

  • Support office marketing and communications efforts in collaboration with undergrad and graduate career staff.
  • Collaborate on marketing and outreach plans for events.
  • Update website content as needed and ensure the information provided is accurate.
  • Create marketing and communication materials to promote career center activities.

On-Campus Recruiting Hospitality (10%)

  • Order, set-up and clean-up lunches for recruiters during on-campus recruiting.
  • Manage day-of hospitality for on-campus recruiting activities; managing supplies and cleanliness of the Recruiter Lounge and interview rooms.

Career Center Operations and Support (10%)

  • Back-up Front Desk Manager as needed.
  • Provide support on career portal management (job postings, company events, on-campus recruiting, etc.), as needed.
  • Participate in team project committees.
