Job Summary


Responsible for handling the sorting and distribution of files and documents. Label and categorize the files according to their purposes and submit them to the appropriate personnel or department. Ensure the safety and security of the documents' storage to prevent leakage of confidential information that might put privacy in jeopardy. Keeps a record of every document within the database, properly disposing of outdated ones, and retrieve documents as requested.


Primary Responsibilities
  • Answering the phone
  • Make copies and shred classified and unclassified material
  • Assists with scheduling ensures leadership is prepared for key meetings and calls
  • Provides other support as requested
  • Facilitates and/or participates in reviews of DOS programs and operations. Participates in identifying new approaches to accomplish office priorities and operations, and supports the development of reports, projections, cost estimates, justifications, and associated briefings for management. Help Senior Executive Management with responsibilities including but not limited to:
  • Responsible for Time and Attendance support, inputting employee records into Time and Attendance Telecommunications Line (TATEL), completing and submitting all required reports, and maintaining necessary records
  • Writes, edits, and/or coordinates a broad array of DOS materials, e.g. reports, new business processes/policies, Department Notices and All Diplomatic and Consular Posts (cable)(ALDACs), and other written materials
  • Provide support for the office as needed, to include
  • Managing documents as needed
  • Pick-up and delivery of mail
  • Request service for copiers, scanner, fax machines, shredders, etc.
  • Coordinates all logistics involved with ordering, tracking, managing, finalizing, packaging, and delivering (Civil and Foreign Service) assignments. Works directly with Commissions program manager to ensure timely execution of involved activities and tasks
  • Develops standard operating procedures and process maps and makes recommendations to Department of State management on improving and strengthening program efficiency and effectiveness
  • Order, stock, and organize supply orders (general supplies, paper, toner) for Office
  • Oversees the timely retirement of official documents and prepares and implements office file plan
  • Escort visitors as needed. Facilitating logistics involved in onboarding and/or departing staff
  • Manages official documentation and correspondence. Familiar with Department document tracking systems, such as Document Management System (DMS). Ensures all documentation and correspondence is consistent with Department requirements and guidelines. Maintains official files and coordinate with staff on documentation related to key program and initiatives

Required Education And Experience


  • Certified as a notary public
  • Prior experience working for the Department of State (DOS) desirable
  • A minimum of three (3) years of experience in management operations and administrative positions
  • Must have Active Security Clearance


Physical Requirements


  • Must be able to lift 15 pounds at times
  • Prolonged periods of sitting at a desk and working on a computer
